Scarborough Medical Group has an exciting opportunity for a Coder & Recall Administrator to join our team. We are looking for an individual who is enthusiastic and passionate about making a difference to the lives of others. You will be an essential part of our dynamic workforce, working alongside our teams of GP's, Nurse Practitioners, Practice Nurses, HCA's, Dispensers, Clinical Pharmacists, MSK Practitioners, Mental Health workers, Social Prescribing Link workers, Care coordinators, Medical Secretaries, Coders and many more! This is a busy, demanding and interesting role and you will need to be quick thinking and tenacious, but also kind and understanding. Working in a great team of clinical and non-clinical colleagues, we need you to be friendly, flexible and used to using your initiative as well as working closely with colleagues.
Main duties of the job:
- The main purpose of the Coder & Recall administrator is to be responsible for the daily administration of clinical correspondence, medical notes summarising and clinical coding and other relevant information into patients' electronic health records.
- You will manage patient recall processes, ensuring patients are invited and tracked for chronic disease reviews, blood tests, and other required monitoring.
- The successful candidate will ideally have experience in NHS or General Practice administration, clinical coding and medical notes summarising.
- You will be required to work across both Danes Dyke Surgery and South Cliff Surgeries, so ideally you will have your own transport.

Job responsibilities:
- Review all incoming correspondence and enter, using recognised codes, pertinent information into the patient's electronic medical record in accordance with the coding protocol.
- Accurate and timely coding of patient information gathered from paper and electronic medical records, as well as correspondence received from other healthcare providers.
- Follow up actions from correspondence based on internal processes and protocols that will ensure that patients receive the most appropriate services and continuity of care.
- Working closely with internal clinical and administrative staff to ensure optimal levels of patient care and timely follow-up actions.
- Process and scan inbound clinical correspondence into patients' electronic medical record in accordance with the scanning protocol.
- Organise the medical record of patients whom you are coding, to harmonise problem titles, group symptom development and assign the appropriate status to medical information.
- Recognise own knowledge limits and seek advice from clinical or administrative colleagues as appropriate.
- Process and summarise new incoming medical notes in accordance with the summarising protocol.
- Cull and sort patient records and letters in preparation for summarising.
- Review medical records and produce an accurate summary of the patient's medical history.
- Interpret reports from hospitals to ensure accuracy of the coding process.
- Deal with any queries relating to clinical coding.
- Monitoring progress of notes summarising against Practice targets.
- Manage and maintain recall systems.
- Identify patients due or overdue for blood tests, injections, screening and monitoring.
- Send recall invitations via SMS, letter or telephone.
- Follow up non-responders in line with practice protocols.
- Filing and retrieving paperwork.
- File and store records as required.
- Photocopy and scan documentation as required.
- Action all incoming emails and mail in a timely manner.
- Scanning of patient related documentation and attaching scanned documents to patients' healthcare records.
- Input data into the patients' healthcare records as necessary.
- Maintain a clean, tidy, effective working area at all times.
Person Specification:
- O GCSE Level English or equivalent
- Good working knowledge of Windows and Microsoft Office applications
- Excellent keyboard skills
- Customer Service Qualification
- ECDL Qualification
