The primary objective is to provide an efficient and effective administration support service to the Maintenance Manager and their team that work regionally. This role will also be the super user of the internal Computerised Maintenance Management System (CMMS).
What you will be doing:
- To assist and support the Plant Manager with all aspects of administration
- To assist the depots within the region with the updating of the CMMS system in line with business requirements
- To maintain the CMMS (Computerised Maintenance Management System) for defined region
- Develop and publish maintenance reports to assist with the efficient communication of maintenance planning and execution
- Document and schedule planned preventative maintenance tasks and communicate to production and maintenance teams
- To ensure the immediate reporting of safety defects to senior management in line with insurance timescales
- Obtaining quotes and creation of purchase orders from bill of materials and parts list communicated from mechanics
- To work collaboratively with manufacturers and suppliers to ensure timely attendance to depots and delivery of parts
- Review contractor time sheets for adherence with plan and schedule
- Monitoring of the equipment telematics systems highlighting any anomalies and producing subsequent reports
- To manage all admin related tasks regarding the mobile plant within your region
- To manage all equipment files within your region and ensure all documentation is kept up to date
- Responsible for the accurate and timely recording of data and information relevant to all department systems
- Responsible for the raising and receipting of process orders for the team using CMMS (Computerised Maintenance Management System)
- Assist in the maintenance of files and handle any general filing using an online filing system
- Responsible for production of various reports, spreadsheets and minutes as required by the Management Team
- Perform general admin housekeeping duties to ensure the smooth running of the operation
About you:
- Excellent knowledge and experience working with Microsoft Office applications, particularly Excel, Word and Outlook
- Advanced knowledge of Microsoft D365 or similar CMMS (Computerised Maintenance Management System)
- Experience of working in an administrative or similar role within the plant hire, parts & Service, contracting, aggregates or recycling industries
- Experience of working in a role with similar volumes of data input and tight deadlines, in a fast paced hazardous environment
- Knowledge of purchasing systems and reporting systems
- Experience of managing suppliers and contractors through work order, purchase order and work scheduling processes
- Confident in using Microsoft Office to produce reports and present data
- Ability to work on own initiative or part of a team
- Excellent written and oral communication skills
- Ability to multi-task & prioritise workloads
- Hardworking with good timekeeping
- Ability to adapt to new systems
- Excellent attention to detail and proofreading ability
- Full UK driving licence required
