Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. Provide efficient, helpful, informative and supportive reception and administration services to patients and members of the primary health care team.
Main duties
- Provide effective and efficient reception service to patients and any other visitors.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Non-clinical triage of patients' problems in order for appointments to be made with the most appropriate clinician.
- Arrange home visits.
- Deal with patient bookings and enquiries in a friendly and courteous manner both face to face and over the telephone.
- Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Action prescriptions in an accurate and timely manner including repeat/controlled and acute prescriptions as per practice prescribing protocols.
- Accurately process results and allocate them to the appropriate clinician for review and action.
- Take action on clinicians' requests for further information/patient contact information etc., ensuring completion of all associated paperwork.
- Action and process tasks as requested via EMIS and email.
- Action and process electronic consultation requests in accordance with patients' needs.
- Monitor and action emails being received into the practice's generic email.
- Keep the paper records system up to date and in order, ensuring the speedy filing of paper records as required.
- Chaperoning when needed and when fully trained.
- Undertake any other ad-hoc tasks assigned by the managers.
About us
Western Road Medical Centre is a large NHS GP practice offering services to nearly eighteen thousand patients. The practice strives to provide the best health care possible to its patients and is supported by additional staff from the Primary Care Network such as Pharmacists, Pharmacy Technicians, Physiotherapists, Dietitian and Social Prescribers, to provide more holistic services.
Job responsibilities
- Weekly Hours: 15hrs 30min
- Monday: 13:30 - 19:00 (no lunch break)
- Thursday: 13:30 - 18:30 (no lunch break)
Other Duties
- Open up premises at the start of the day when first to arrive, deactivate alarm and make all necessary preparations to receive patients.
- When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
- Where necessary advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
- Ambulance/transport bookings as per protocol.
- Ensure incoming emails are dealt with accurately referred to the attention of the relevant person.
- Process incoming and outgoing mail according to practice protocols.
- Complete other Daily/ Weekly and Monthly core tasks to support the smooth running of the reception area.
- Ensure waiting room is tidy throughout the day.
- Ensure building security has thorough knowledge of doors/windows/alarm.
- Covering colleagues' holiday and sick cover as required.
- Any other tasks allocated by managers.
Job Types: Part-time, Permanent
Part-time hours: 15hrs 30min per week
Salary: From £13.00 per hour to start. Will raise to £13.23 per hour after 6 months' probation period.

Experience: Medical Receptionist: 1 year (preferred)
Qualifications: GCSE grade C or above in English; GCSE grade C or above in Maths; Experience of administrative duties; Experience of working in a team and autonomously; Experience of using telephone; Experience of working in a health care setting; Experience of working in NHS Primary Care; Optum (Emis web) user skills; Good knowledge of medical terminology; Understanding of clinical coding.
