An exciting opportunity has arisen to join Powys Teaching Health Board as an Administration Assistant within our Children's Services team. This role will primarily support the Community Paediatric Service, which provides assessment, diagnosis, and ongoing management for children and young people across Powys. The service is delivered by a team of Community Paediatricians within the Midwifery, Women and Family Health Directorate, working as part of a whole-system approach to meeting the health needs of children and young people. You will play a key part in ensuring the smooth running of the service by providing high-quality, efficient, and confidential administrative support to clinical teams. In addition to supporting Community Paediatrics, you will also provide administrative support to wider Children's Services, as required. This is an excellent opportunity for a motivated and organised individual to join a friendly and supportive team, contributing to the delivery of high-quality care for children, young people, and their families across Powys.

Main duties of the job:

  • Acting as a first point of contact for the department; answering telephone calls and taking messages accurately.
  • Dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to the relevant departments/person and referring to others as appropriate.
  • Updating electronic and paper-based systems such as WCCIS (Welsh Community Care Information System) and WPAS (Welsh Patient Administration System); collating information, distributing mail, and logging tasks.
  • Photocopying and word processing documents, letters, emails, minutes and reports as required.

Job responsibilities:

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Qualifications and Experience:

  • Educated to GCSE level or literacy/numeracy at L1 or equivalent.
  • NVQ Business Administration Level 2.
  • Knowledge of the Data Protection Act.

Experience:

  • Experience of producing correspondence.
  • Experience of customer service / first point of contact support.
  • Proven proficiency in the use of IT software.
  • Knowledge of office practices and ability to establish new processes.
  • Previous experience in an office environment.

  • Positive attitude and ability to act on feedback.
  • Communicate clearly and effectively.
  • Ability to be polite when dealing with difficult, impatient or upset people.
