Main duties of the job include handling patient calls efficiently throughout the working day, managing appointment bookings, cancellations, and rescheduling. Work within all relevant practice policies and procedural guidelines and to agreed practice standards and protocols. Provide administrative support to the practice looking after the following extended services: Musculoskeletal, Level 2 Diabetes, Joint Injection, Minor Surgery, Vasectomy, Neurology, Dermatology.

Job responsibilities include:

  • Answering patient calls and managing appointment bookings (phone lines open 08:00).
  • Registering referrals accurately.
  • Processing and actioning NHS mail.
  • Monitoring and sending letters from the post tray.
  • Scanning and attaching paperwork to relevant records.
  • Checking and processing documents in the work to do tray.
  • Performing data entry tasks to ensure accurate record keeping.
  • Taking minutes during meetings as required.
  • Creating the patient questionnaire rota & sending for all services.
  • Working effectively both independently and as part of a large team.
  • Following established guidelines, identifying and updating them when necessary.
  • Attending internal and external meetings as required.
  • Collaborating with the Extended Care Team Manager to ensure adequate office coverage.
  • Assisting, directing, and supporting patients in accessing appropriate services or healthcare professionals in a professional and efficient manner.
  • Maintaining effective internal and external communication channels.
  • Contributing to the continuous improvement of processes by providing suggestions and feedback.

Experience required includes the ability to use SystmOne appropriate to job role, Microsoft Excel, and Microsoft Access.

Qualifications: GCSEs at grade 9-4 in English Language and Mathematics (or equivalent), Customer Service Level 2 or 3, Business Administration Level 2 or 3.
