The Business Support Administrator role supports our Exmouth Community Mental Health Teams. As an Administrator in the team, you will be involved with a wide range of tasks and processes that are intrinsic to ensuring the team is working efficiently and in the best interests of our patients. Administration colleagues provide support to the clinicians to enable them to provide the best care for our patients. It is a role where you can feel like you are making a positive difference to people's lives. This is a substantive position based on site.
Main duties of the job include:
- To provide comprehensive administration support to the Exmouth Adult Community Mental Health Teams that provide for patients aged 18 to 65 years of age.
- Minute-taking and meeting support, formatting documents, answering in-bound calls from patients, families and other health-related professionals.
- Actioning messages appropriately, organising meetings, dealing with incoming and outgoing mail, and any other general administrative duties required by the team.

Job responsibilities include:
- Taking potentially sensitive, distressing and difficult calls and passing on messages from clients, professionals, carers, family members etc.
- Comprehensive diary management and working from a generic team inbox in Microsoft Outlook to complete administrative tasks from clinicians.
- Meetings administration; booking rooms and organising a suitable date and time for attendees; preparing agendas; taking and distributing formal minutes; distributing papers; recording clear decisions and actions and following these up to check completion; maintaining attendance records.
- Frequently inputting complex and sensitive data relating to people who use our services onto electronic patient records system.
- Adapting to an ever-changing work environment and willingness to learn.
- Complying with trust policies and procedures.
- Ensuring requisitions are dealt with quickly and efficiently on the Agresso purchasing system.
Person Specification includes:
- Planning and Organisational Skills
- Knowledge of IT systems in an administrative role.
- Experience in taking minutes in a professional setting.
- Qualifications: Business Administration Level 3/ T Level qualification in Management and Administration, or equivalent experience.
- GCSE English or equivalent.
- Evidence of continuing professional and personal development.
- ICDL (International Computer Driving License), or equivalent experience.
This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
Salary: £25,760 to £27,476 a year pro rata (22.5 hours per week).
