Responsibilities
- Carry out regular patrols of the building to check for any problems and report any faults to the relevant personnel.
- Ensure cleaning standards are maintained and report any cleaning issues to the client.
- Ensure that all visitors are greeted with excellent customer service and visitor procedures are followed at all times.
- Ensure the health and safety of the building is maintained.
- Manage and distribute post upon receipt.
- Ensure site manuals and procedures are regularly checked and updated.
- Directing all visitors to correct floors.
- Ensure the reception desk runs effectively.
- Actions and responds to email instructions.
- Manage meeting room bookings, set ups and support internal events as required.
- Monitor and replenish office consumables (e.g. pantry items, stationery) and maintain stock levels.
- Coordinate and track maintenance requests, liaising with contractors and following up on completion.
- Support security processes including visitor badges, access control and key management.
- Manage internal support tickets, ensuring timely responses and resolution within agreed service levels.
Requirements
- Experience as a receptionist or in customer service.
- Experience within a corporate environment.
- Professional presented, self confident and smartly dressed at all times.
- Good health and safety knowledge.
- Understands the importance of, and has great, attention to detail.
- Good intermediate computer literacy.
- Good oral and written English with the ability to communicate at all levels.
- Able to remain calm and effectively manage and respond to difficult people or situations.
- Desire to learn more about how a building runs and a passion for development, as this role will eventually take on more building management duties.
- Strong administrative and organisational skills, with the ability to manage multiple tasks and priorities.
- Proactive and self motivated approach, with the ability to work independently and take ownership of tasks.
- Ability to coordinate with multiple stakeholders, including internal teams and external suppliers.
- Experience using ticketing or service management systems (or similar tools).
- Experience managing office facilities, workplace services or similar operational environments (desirable).
