DFTO is the government's public sector rail owning group. Its purpose is to bring all currently privately owned train operators into public ownership in advance of the creation of Great British Railways in 2027 and deliver improvements in the here and now by unifying and integrating train operations under common public ownership. DFTO has over 30,000 employees, runs over 8,500 services a day and delivers over 640 million customer journeys across its networks every year.
Primary Purpose of Job
This is a rare and exciting opportunity to shape something new. DFTO is setting up a new Enforcement Team, an industry first, which will be responsible for all prosecution activity across the DFTO Group. This is a significant change in strategic approach, and you will play a pivotal role in helping DFTO deliver their enforcement strategy and policy. You will support the Enforcement function by providing efficient and effective administrative and secretarial support service.
Key Responsibilities
- Undertake general office administration duties for the Enforcement function, including managing post, corresponding with passengers and the court, coordinating office supplies, and administrating distribution of key equipment (e.g., mobile phones).
- Assist with diary management and arrange travel, accommodation, and transport for senior team members.
- Work closely with other Team Organisers and executive assistants across DFTO, as well as the case management team, to facilitate smooth operations and contribute to process improvement initiatives.
- Organise meetings including any training sessions (both internal and external) and the production, collation and dissemination of documentation for and resulting from them.
- Take minutes when required and follow up actions from the meeting.
- Provide a consistent in person presence on behalf of the team delivering excellent customer service levels and undertake the role in a way that is consistent with DFTO's values.
- Provide communications to the team, including sending messages as required.
- Maintain an efficient filing system paying particular attention to records of standing meetings, templates and documents utilised by the Enforcement function.
- Utilise financial and procurement systems and act as Local Purchasing Agent (where directed) by issuing POs as required for the team, ordering items required for the team, which may include stationery and other office consumables as required.
- Manage team expenses including practice certificate renewals for legal professionals, PLC licences and account management.
- Report team issues (e.g., IT or facilities) and monitor resolution.
- Support financial and performance tracking and information management.
Knowledge, Skills, Experience & Technical Qualifications
- Ability to multitask
- Experience in appropriate IT packages (including Microsoft Teams, Outlook, Word, Excel)
- Good time manager
- Strong organisational skills
- Good communication skills (verbal and written) including excellent telephone manner
- Experience working with a team
- Can do attitude and flexibility/agility where required
- Experience in and/or interest in a legal function, particularly related to criminal and civil matters, desirable.
