To provide administrative and clerical support to the Yorkshire Regional Genetics Service. The post holder will be responsible for the provision of a full and effective administrative and clerical support service.

Main Duties

  • Input data into the database such as PPM+.
  • Obtain further information prior to patients being seen.
  • Update patient administration systems.
  • Collect consent forms, family history, post mortems and test results.
  • Produce reports as required, including drawing family trees using a specialised database.
  • Arrange and plan own work in line with the team.

Responsibilities

  • Provide full clerical support to the Clinical Genetics team: organising, sorting and filing documents, handling incoming/outgoing post, photocopying, distributing information, and typing letters.
  • Deal with communications and ad hoc enquiries from staff, service users and external organisations; manage a shared email inbox.
  • Maintain and update mail outs and labels, orchestrate electronic or paper mail outs.
  • Monitor stock levels and reorder stationery and office supplies.
  • Coordinate and keep records of team leave.
  • Create and maintain clinical and departmental rotas.
  • Adhere to relevant statutory instruments and trust policies (Data Protection, Health and Safety, Confidentiality).
  • Learn and adapt to new ways of working.

Qualifications

  • GCSE in English and Maths.
  • Good written and verbal communication skills.
  • Basic computer/typing skills.
  • Competent in word processing, spreadsheet packages and database usage.
  • Numeracy.

Experience

  • Knowledge of various administrative procedures.
  • Understanding of issues around diversity and patient involvement.
  • Previous administrative/clerical experience.
  • Initiative and self-direction.
  • Experience working in a complex organisation, health or social care setting.
  • Experience with diverse populations (e.g., disabled people, other cultures).
