Job Purpose: The post holder's main duties will be to provide administration support for our smoking cessation services. The post holder will be responsible for a range of administration, ensuring the smooth running of the office and the administration of the programmes to meet targets and deadlines set internally by ABL.
Key Duties and Responsibilities:
- Provide high-quality administrative support across a number of Stop Smoking Services.
- Ensure the smooth day-to-day running of a busy office environment.
- Handle incoming calls and referrals.
- Book client appointments.
- Maintain accurate and confidential patient records.
- Provide professional support to clients while identifying their individual needs.
- Work closely with Project Leads and Managers to prepare reports and documents.
- Support venue sourcing in line with service demand and budgets.
- Ensure accurate data entry across service databases and IT systems.
- Monitor workloads and service targets.
- Take and distribute meeting minutes.
- Manage general administrative tasks such as filing and record keeping.
- Welcome clients into the reception area.
- Work collaboratively within the wider administration team.
- Demonstrate flexibility to support service needs.
- Maintain a professional and efficient approach at all times.
