The Warranty Supervisor is responsible for supporting the Group Warranty Manager in the effective oversight, performance, compliance, and continuous development of the Warranty Administration function. The role provides operational leadership for Volkswagen Group (VWG) warranty activities, ensuring warranty claims are processed accurately, efficiently, and in full accordance with manufacturer and company standards.
The position plays a key role in driving compliance, supporting audit activity, managing VW Transit damage claims and VW Financial Services (VWFS) extended warranty claims, while contributing to the ongoing development and performance of the Warranty Administration team.
Key responsibilities
- Warranty Operations & Compliance
- Support the Group Warranty Manager in monitoring, auditing, and continuously improving warranty operations across the business.
- Oversee the day-to-day administration and submission of all VWG warranty claims and extended warranty requests/claims through the Warranty Administration team.
- Ensure all warranty claims and requests are processed accurately and within required timescales.
- Conduct regular self audits of warranty claims across all VWG sites to ensure compliance with manufacturer warranty policies, procedures, and internal controls.
- Support the implementation, maintenance, and effective use of warranty audit and compliance platforms.
- Assist in preparing for and participating in external manufacturer warranty audits.
- Identify compliance risks and recommend process improvements to enhance operational performance and reduce claim rejection rates.
- Brand Responsibility
- Function as the primary operational contact for the brands warranty administration activities.
- Ensure full compliance with all warranty policies, procedures, and reporting requirements.
- Maintain up-to-date knowledge of manufacturer warranty standards and communicate updates to Group Warranty Manager.
- Review warranty documentation, including job cards, technician reports, and supporting evidence, to ensure claims meet manufacturer requirements.
- Analyse warranty claim rejection trends and work collaboratively with the Group Warranty Manager to implement corrective actions and process improvements.
- Support the monitoring, reconciliation, and resolution of manufacturer warranty payments, credit notes, and extended warranty transactions.
- Transit Damage Claims
- Assume operational responsibility for the administration and management of VW Transit damage claims.
- Ensure claims are submitted accurately, tracked effectively, and reconciled in accordance with Volkswagen procedures.
- Monitor claim outcomes and performance trends, identifying opportunities to improve claim acceptance rates and reduce processing delays.
- Team Leadership & Development
- Support the performance management and professional development of the Warranty Administration team across all brands.
- Provide coaching, mentoring, and ongoing guidance to team members to enhance technical knowledge and performance.
- Conduct regular one-to-one meetings and contribute to performance review processes.
- Identify training and development requirements and support continuous improvement initiatives.
- Promote a culture of accountability, collaboration, compliance, and customer-focused service delivery.
- Encourage best practice sharing and contribute to the ongoing development of warranty processes and team capability.
