The role: As a Business Support Assistant within Specialist Children's Services at NHS Greater Glasgow and Clyde, you will play a crucial role supporting multidisciplinary teams to deliver high quality care to children and families. This varied and rewarding role requires administrative expertise, initiative and organisational skills to keep services running smoothly. You will work independently for much of the time while remaining a valued and trusted member of the wider team.
Duration, Location, and Working Pattern:
- Templeton Business Centre
- Monday to Thursday, 09:00 to 17:00 and 09:00 to 16:30 on Fridays
- Fixed term until 31st March 2027
Key responsibilities:
- Provide comprehensive secretarial and administrative support to multidisciplinary clinical teams
- Act as a key point of contact for patients, families, staff and external agencies, managing enquiries with professionalism and empathy
- Arrange, amend and manage patient appointments using electronic patient management systems
- Prepare high quality correspondence, reports, presentations and other documentation, including audio typing
- Support meetings by preparing agendas, papers, minutes and following up on agreed actions
- Supervise and support business support staff, ensuring effective cover, induction and ongoing development
- Maintain accurate records, systems and data reporting to support safe, efficient service delivery
Knowledge, training, qualifications and/or experience required:
- Recognised qualification in Administration, such as HNC in Secretarial Studies or Business Administration or SVQ Level 3 or equivalent experience
- Proven experience working in an administrative or secretarial role with a strong understanding of office systems and procedures
- Advanced keyboard and typing skills, including audio typing with a high level of accuracy
- Confident use of IT systems, including Microsoft Office applications and electronic record systems
- Excellent organisational skills with the ability to manage competing priorities and frequent interruptions
- Strong communication skills with a good command of written and spoken English
- A proactive, team focused approach with attention to detail and a commitment to continuous development
