To support two directors with secretarial duties and diary management. To ensure all HR and payroll processes and admin are followed within the required timescales.
Primary Responsibilities
- Maintain all staff personnel files in accordance with current HR procedures, including:
- Monthly payroll updates: add new starters/leavers to HR system, monitor maternity/paternity leave, statutory recoveries, student loans, driving offences, and other payroll requirements.
- Scan HR files and documents onto the HR system (Success Factors).
- Prepare offer letters, employment contracts and new starter information packs.
- Follow HR procedures and take care of new starters and leavers, prepare reference packs and coordinate with Line Managers for smooth entry/departure.
- Measure and report staff absence using internal and Bupa systems, monitor trends and notify line managers where appropriate, and follow up on required paperwork.
- Attend disciplinary or grievance meetings as a note taker for HR or Line Manager.
- Director diary management.
- Maintain company car records, order replacement/hire vehicles, and keep P46 tax records.
- Monitor Director's inbox during absences, print emails, collate and address urgent queries.
- Arrange travel and accommodation for Directors, including flights, hotel bookings and diary updates.
- Handle Director expenses.
- Prepare for meetings, book lunches or pastries, and serve teas and coffee.
- Field queries from external companies to the relevant department.
- Take meeting minutes, actions, and distribute to the relevant people.
- Perform any other duties required to meet the needs of the business.

- Exceptional administrative and organisational skills with the ability to multi task and prioritise workload.
- Excellent telephone manner.
- Self starter who can be extremely flexible in daily work.
- Ability to work under pressure and maintain complete confidentiality.
