We are looking for a Mobile Receptionist to cover various Provide sites across Mid Essex. The post holder will act as the first point of contact for all clients, visitors and staff entering the clinic/department/building by providing an efficient and courteous welcome either face to face and on the telephone.
Responsibilities
- To act as the first point of contact for all clients, visitors and staff entering the clinic/department/building.
- To record the arrival of clients, using SystmOne for any Provide services based at a clinic and provide guidance as necessary.
- If required by the service, check contact details held are up to date and current.
- To assist with attending clinicians with administration by scanning documents onto SystmOne, to book records in and out of clinic using SystmOne, and to ensure records are returned to the correct location.
- To complete administration tasks as directed by the Administration Support Team (AST) Team Leader or Administration Support Team Manager.
- To sort and distribute incoming mail for all staff at the clinic and act on items as appropriate, deal with outgoing post (internal and external), and to ensure that all internal post is ready for collection on the appropriate days.
- To issue hearing aid batteries as appropriate.
- To ensure that doors and windows are secured and security alarms are set if the last person to leave, and to ensure files, keys and stock are secured on leaving the premises.
- To be responsible for logging day to day maintenance requests via Provide Estates & Facilities for minor repairs required to the clinic/department/building premises.
Qualifications
- Good general level of education to GCSE level.
Work Related Knowledge & Experience
- Proven work experience in a Receptionist role or experience in dealing with members of the public.
- Experience of working in an administrative role.
- Standard keyboarding skills; computer literate; ability to plan, organise and co-ordinate own work; ability to deal with sensitive issues in a professional and considerate manner.
- Competent use of Microsoft packages.
Circumstances
- Valid driving licence and ability to travel to different bases across the Essex area with own vehicle.
