Receptionist plays a very important part in the team and the day to day running of the business, being the first and last point of contact for all visitors and staff. The role involves greeting claimants and companions, managing venue security, exchanging information, and ensuring claimant wellbeing is central to all activities.
Responsibilities
- Meet and greet visitors in a warm and friendly manner.
- Manage daily appointments using CRM/PRS, including re-scheduling as required.
- Open and lock the venue and ensure all security procedures are followed.
- Identify and validate all attendees, directing claimants to their appointments.
- Perform day to day organisational and administrative duties: data entry, maintenance of CRM/PRS systems, uploading documents to the H&S System CASPER as a H&S site Champion.
- Maintain business office supplies and keep an up to date record of stationery surplus.
- Ensure the venue is always kept to a professional standard.
- Provide relevant information to claimants and support staff during visits.
- Offer directions over the telephone, demonstrating knowledge of local transport routes.
- Contribute to the strategic management and development of the business.
Qualifications & Requirements
- Experience as a receptionist and customer service (customer facing).
- Good planning and organisational skills.
- IT literacy: MS Teams, Word, Outlook and CRM systems.
- Experience of conflict resolution and de-escalation techniques in a face to face environment.
- Strong verbal and written communication skills.
- Friendly disposition and customer service ethos.
- Ability to initiate contact with claimants, companions and visitors and respond to requests.
- Willingly attend all training and development courses.
- Polite, approachable, attentive and a good listener.
- Excellent time management skills; punctual and able to work without supervision.
Location & Working Hours
Coleraine, United Kingdom
Full time, permanent position. Shift pattern: Monday - Friday, 08:30 - 17:00. Receptionist will spend approximately 70% of time greeting visitors; remaining time will be spent on documentation, rebooking appointments, stationary orders, archiving, training, updating systems, and venue facilities management including health and safety.
