We are seeking an enthusiastic and motivated individual who is looking to begin a career in healthcare administration through a Business Administration Apprenticeship. This is an excellent opportunity to gain practical experience within a busy and progressive GP practice while completing a Level 3 Business Administration Apprenticeship. We are looking for someone who is eager to learn, enjoys working with people, and is committed to delivering excellent service to patients and colleagues. The role is ideal for someone starting their career or looking to develop their administrative skills within a supportive healthcare environment.

Throughout the apprenticeship, you will receive structured training and support to develop the knowledge, skills and behaviours required to achieve your qualification and build a successful career in healthcare administration.

As a Practice Administrative Apprentice, you will gain hands‑on experience in a busy GP practice while developing your skills through on‑the‑job training and completing an NVQ Level 3 in Business Administration. Your role will involve providing administrative support to the practice, including booking appointments, maintaining accurate medical records, and communicating effectively with patients, colleagues, and external partners via telephone, email and face‑to‑face interactions. You will also assist with a range of general administrative tasks to help the practice run smoothly.

Duties and Responsibilities:
  • Communicate effectively with patients, staff, and external contacts using various methods (e.g., phone, email, in‑person).
  • Develop IT skills, including using patient management systems such as EMIS, Docman, and iPlato.
  • Provide general administrative support across the practice, including reception duties as required.
  • Assist with maintaining accurate records and updating information in line with organisational standards.
  • Support appointment management, correspondence, and other day‑to‑day administrative processes.
  • Take and circulate minutes, prepare agendas, and assist with meeting related tasks.
  • Assist with stock management, office organisation, and other general support tasks.
  • Support clinical and administrative staff with ad hoc tasks as required.
  • Help with basic premises or facilities related tasks, such as reporting issues or arranging contractor visits.
  • Scan patient related documentation and attach scanned documents to healthcare records accurately.
  • Ensure all policies and procedures within areas of responsibility are kept up to date and implemented as required.
  • Demonstrate professional and respectful behaviour at all times, reflecting the values, standards, and reputation of the organisation.
CQC (Care Quality Commission):

Under supervision of the Clinical Services Team Lead / Practice Manager to assist staff and clinicians to ensure that the practice fully complies with the CQC regulations. To ensure that all policies and procedures within areas of responsibilities are up to date and are amended as and when required.

They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately. In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

Health & Safety:

Using personal security systems within the workplace according to practice guidelines. Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks. Making effective use of training to update knowledge and skills. Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards. Actively reporting health and safety hazards and infection hazards immediately when recognised. Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role. Undertaking periodic infection control training (minimum annually).

We are a well‑established and progressive GP practice serving approximately 15,000 patients, with a predominantly student population based on the University of Kent in Canterbury. Our clinical team includes: 5 GP Partners, 3 Salaried GPs, Advanced Clinical Practitioner. Experienced nursing team including NMPs, Nursing Associate and HCA roles. We are supported by a skilled and dedicated administrative team and are committed to providing high‑quality patient care within a supportive and collaborative working environment. Salary and Availability:

Aged 16 to 18 – the current National Minimum Wage rate for an apprentice is £8 per hour. Aged 19 or over and in your first year – the current National Minimum Wage rate for an apprentice is £8 per hour. Aged 19 or over and have completed your first year – apprentices will be entitled to the National Minimum Wage for your age. Interviews will be held on Friday 24th July 2026 with a start date of Monday 7th September 2026.
