Salary range: Team Support £27,302 to £29,291

Work pattern: Full time (applications are welcome from people who work part time, as part of a job share or who work full time)

Duration: Fixed term for up to 12 months with possibility of permanency.

Location: Pan Wales 'Pan Wales' means the post holder can be based in any Welsh Government office, subject to business needs.

Purpose of post: CIW is the independent regulator of social care and childcare. CIW registers, inspects and takes action to improve the quality and safety of services for the wellbeing of the people of Wales. CIW's purpose is to encourage the improvement of social care, early years and social services by regulating, inspecting, reviewing and providing professional advice. CIW carries out its functions on behalf of Welsh Ministers and sits within the Chief Operating Officer's Group within the Welsh Government. The post holder will support the Inspection, Registration Support or Support Services Team in carrying out a variety of administrative tasks and to assist them in achieving their corporate business objectives.

Key tasks:

  • Provide general administrative and digital support; act as first and/or second point of contact for calls and emails, depending on the team matched.
  • Record and distribute incoming and outgoing mail; maintain internal records as required.
  • Monitor team mailboxes, process and signpost enquiries to relevant contacts across CIW and Welsh Government and refer externally to partners & organisations when appropriate.
  • Arrange internal meetings as required, manage use of Microsoft Teams and on site meeting rooms/interview rooms, take minutes and distribute papers.
  • Support collating documentation related to a registration or inspection, ensuring accurate input and maintenance of records.
  • Assist the office in producing inspection, review and registration reports, monitor statutory timetable for publication and maintain control of the report production process including word processing, formatting and distribution.
  • Act as first/second point of contact support for CIW, providing bilingual service where possible to the public and internal customers, respond to general and inspection enquiries and concerns, delegate unresolved items to relevant team/inspector.
  • Use CIW case management system to respond sensitively and confidentially to acknowledgement of concerns and notifications; provide support during enforcement action as directed by the CIW Connect Manager.
  • Use CIW case management system to input accurate and timely data, check contact details before communicating with provider, inform relevant team of problems arising from its use where they cannot resolve.
  • Provide cover and support to colleagues in the Chief Inspector's team and wider Senior Management team as required.
  • Maintain confidentiality in all aspects of work, including handling confidential information.
  • Maintain electronic filing systems (iShare), permissions, and document controls to high standards of information governance.
  • Manage own professional development and seek appropriate opportunities in discussion with line manager.
  • Any other administrative duties that may be required by line manager.

In the event of a large number of applications, an initial sift will be conducted against the lead assessment criterion: Experience. Candidates who pass the initial sift may be progressed to a full sift or progressed straight to assessment/interview. A reserve list may be held for this opportunity. Any candidate who is successful in being offered reserve status will remain on the reserve list for 12 months. Welsh Language Requirements are Desirable but not essential for the role. These posts can be based in Merthyr Tydfil, Carmarthen or Llandudno Junction.
