Due to internal progression, Brockenhurst College are looking to recruit a Receptionist / Administrator on a part-time, permanent basis. Working term time only, 24 hours per week, 38 weeks per year. In return, you will receive a competitive salary of £24,617 per annum (pro rata). We are a high-achieving college who attract around 2,800 sixth form students across the region each year. We are based within the stunning New Forest National Park and offer our students a huge range of courses and superb facilities.

Responsibilities

  • Dealing with telephone, face to face, email and postal enquiries effectively in a welcoming and professional manner.
  • Answer, screen and transfer incoming telephone calls.
  • Administration and processing of mailboxes.
  • Processing of incoming mail ensuring this is distributed to appropriate addressee/department.
  • Processing of external mail, including franking of general post and appropriate handling of special delivery, track and trace and signed-for registered post.
  • Provide high quality customer service to assist students, staff and visitors, whether by telephone, email or in person.
  • Receive college visitors ensuring they sign-in, are issued with a visitor ID and supervised whilst within the Reception vicinity and during periods when they are awaiting collection by their host or on returning to Reception for signing-out.
  • Enable and support, utilising the college visitor/deliveries system, receipt of college deliveries.
  • Ensure that the Reception and office areas are well stocked with current and relevant information and kept tidy.
  • Manage lost property, ensuring safe-keeping and return to owner on collection.
  • Provide assistance to Student Support Advisers/Administrators as necessary, including special projects, liaising with and assisting staff, tutors, students, volunteers, outside organisations etc.
  • Administrative co-ordination and support for the Lead Counsellor to organise the College's counselling provision.
  • Assist with the preparation of notices, posters etc. and the setting up of displays.
  • Undertake general office duties, to include filing, shredding or disposing of confidential waste.
  • Provide occasional cover for Student Support Advisers/Administrators colleagues as necessary.
  • Communicating with other departments to ensure the safety of visitors and the high maintenance of the College and its grounds.

Qualifications

  • GCSEs in English and Maths (or equivalent).
  • A minimum of two years' experience in an office environment, interacting with the general public.
  • Experience of assisting a range of different people with diverse needs.
  • Competent computer skills - able to use Word, Excel, PowerPoint, Outlook and the Internet for information retrieval.
  • Able to demonstrate customer care skills.
  • Friendly and welcoming manner.

  • Excellent communication skills.
  • Able to work under pressure and prioritise appropriately.
