We are seeking to recruit an administrator to work within our busy Audiology Department in Boscombe, Bournemouth. This post is ideally full time but a minimum of 3 days a week may be considered.

The main function of the Audiology Service is to provide NHS hearing aid services throughout Dorset. We are looking for an individual with excellent organisational, IT and administration skills to join our friendly admin team and support the clinical team in running their clinics effectively.

Responsibilities
  • Deal with a range of telephone queries from patients, arrange appointments, manage patient correspondence and data input.
  • Provide administrative support to the clinical team to enable them to run their clinics efficiently.
  • Perform initial triage of hearing aids and ear moulds requiring repair while on reception or via phone/email.
  • Book patient appointments based on clinical need.
  • Ensure new hearing aids and ear moulds are assessed upon receipt to verify accuracy of prescriptions against personal requirements.
  • Accurately input data relating to new referrals, appointments, clinic attendances, DNA's and patient pathways to meet the 6 and 18 week referral pathway targets.
  • Ensure all patient and service contacts are dealt with in a friendly and professional manner to promote a positive patient experience.
Qualifications and Experience
  • GCSE Maths and English
  • NVQ Level 2 in Administration or Customer Service or equivalent
  • Experience responding to telephone calls from patients
  • Experience working in an administration role
  • Excellent communication skills, written and verbal, including communicating with patients with severe to profound hearing loss
  • Clear understanding of Data Protection and confidentiality
  • Experience in a patient facing receptionist role
  • Understanding of the 6 and 18 week referral pathway guidelines
  • Experience using a Patient Management booking system
  • Experience as the first line response to complaints
  • Previous NHS experience
  • Able to work calmly and methodically under pressure
  • Ability to manage unpredictable workloads, time and priorities
  • Initiative and ability to work independently when necessary
  • Proactive working style and willingness to learn and develop in a challenging environment
  • Professional communication with a wide range of people
  • Initiative to undertake new projects
  • Good working knowledge of Microsoft Office packages (Excel/Word)
  • Analytical skills and ability to investigate a variety of issues
