The Spa Receptionist is the first point of contact for all spa guests and members, delivering exceptional customer service and ensuring a smooth, welcoming, and professional experience from arrival to departure. The role supports daily spa operations, manages bookings, and upholds brand standards throughout all guest interactions.
Key Responsibilities
- Welcome all guests and members warmly, ensuring a professional and relaxing environment.
- Provide information on spa treatments, packages, facilities and products.
- Handle check‑ins, check‑outs, and confirm bookings in line with spa procedures.
- Respond promptly to guest requests, questions, and concerns, ensuring issues are resolved or escalated appropriately.
- Maintain the reception area to a 5‑star standard at all times.
Bookings and Administration
- Manage treatment schedules using the spa booking system (e.g. Trybe).
- Ensure therapists' diaries are accurate and efficiently utilised.
- Process payments, issue receipts, vouchers, and gift cards as required.
- Maintain accurate daily reports, records, and financial reconciliation.
- Follow all standard operating procedures (SOPs) for guest bookings and service delivery.
Retail Sales
- Promote spa merchandise, treatments, and special offers.
- Assist with stock control, including restocking displays and conducting stock takes.
- Maintain product presentation to brand standards.
Operational
- Communicate effectively with therapists, leisure staff, and management regarding daily operations.
- Support smooth spa flow during busy periods, coordinating guest movements and treatment timings.
- Uphold health & safety standards, including hygiene, cleanliness, and emergency procedures.
- Attend team meetings, trainings, and development sessions as required.
About You
- Previous experience in a hospitality / reception environment desirable but not required; full training will be given.
- Excellent communication and interpersonal skills.
- Strong organisational and time‑management abilities.
- Competent in booking systems, Microsoft Office, and payment processing.
- Professional appearance and a friendly, calm manner.
- Ability to multitask and remain focused in a fast‑paced environment.
