An excellent opportunity has arisen for an experienced Receptionist to develop their existing skill set at a successful, full-service law firm based in Manchester. While working as part of the Reception team you will support the business and be able to effectively swap between different tasks such as meeting and greeting clients, booking and setting up meeting rooms, answering incoming calls and assisting with general office administration. This is a versatile role which will allow the right candidate to build on their existing experience. You will interact with colleagues at all levels and help us to provide a first-class client service. We are therefore looking for a friendly, welcoming individual with exceptional communication skills. This is a full-time role (35 hours a week) between the hours of 9:00 and 17:00. Some flexibility to change hours will be required occasionally to cover annual leave and sickness absence (between 08:00 – 18:00).

Key Responsibilities
  • Deliver a quality, professional reception service to the firm’s clients, partners and employees at all times.
  • Approach each day with a flexible and solution-focused mindset, communicating effectively with the wider team to cover key tasks.
  • Plan and prioritise tasks effectively, including quickly switching between client-facing responsibilities and administrative duties.
  • Meet and greet clients and visitors in a warm, friendly and professional manner, providing an excellent first impression of the business.
  • Answer incoming telephone calls and redirect callers to the appropriate person, taking clear and accurate messages and passing them on promptly.
  • Maintain the Reception areas and meeting rooms to ensure they remain tidy, professional and well presented.
  • Assist with meeting room booking requests, ensuring all required details are captured so rooms can be planned and prepared in advance.
  • Ensure catering, conference call and AV requirements are arranged for room bookings where required.
  • Support the preparation of marketing events held in the office as and when needed.
  • Assist with general administration, including building access control and ordering catering supplies.
  • Support with other appropriate tasks as required, recognising that the duties and responsibilities of the role are not exhaustive.
Skills, Knowledge and Expertise
  • Previous reception and administration experience in a client-facing role, ideally within a professional services environment.
  • Excellent verbal and written communication skills.
  • Ability to work proactively and use initiative when managing tasks.
  • Willingness to learn and flexibility to support each element of the role.
  • Strong attention to details.
  • Strong customer service skills.
  • Polite, calm and professional manner with a positive, solution-focused outlook.
  • Good computer skills, including Outlook, Microsoft Word and Excel.
