To enable us to deliver the right outcomes to our clients, with a commercial edge, we need an effective and efficient Legal Support Executive to support our Private Wealth team’s legal professionals in ensuring the smooth and efficient running of the Department. Responsible for a range of non-chargeable administrative tasks and client liaison, our Legal Support Executives must be exceptionally organised and maintain a very high service standard. This is a role which provides a great development opportunity for those at the start of their career in legal support to learn and grow with our forward-looking team.
Key Responsibilities
- Providing an effective, timely and efficient service to the firm’s clients in order to maintain high client satisfaction and compliance with relevant legislation and/or internal procedure.
- Creating and maintaining accurate and up-to-date records (physical and electronic) of work done on legal matters when opening new files, closing files, archiving etc in the firm’s case management system. Ensuring all records are organised, accessible, maintained and kept up to date according to JMW’s policies and procedures.
- Ensuring confidentiality of the firm, client documentation and information.
- File Opening in line with the firm’s processes and the SRA’s AML/KYC guidelines.
- Bill processing which may include requesting and collecting cheques, liaising with the firm’s Accounts department, taking payments from clients, checking bank details and requesting payments out of client/office accounts.
- Assisting with the coordination and distribution of incoming and outgoing daily post (paper and electronic / special, recorded and by-hand).
- Bundle creation and assisting with the collation of documents for the team.
- Creating and amending correspondence and documents.
- Providing office support including meeting coordination, preparation of marketing events.
- Providing support to other members of the team’s Legal Support Executives as and when required.
Skills, Knowledge and Expertise
- IT literacy, particularly with experience in Word, Excel, Outlook and ideally Proclaim.
- Ability to communicate professionally orally and in writing, with an excellent telephone manner, ability to take messages and provide quality client care.
- Accurate typing skills.
- Willingness to learn and contribute to the team.
- Essential time management and organisational skills.
- A high degree of attention to detail.
- 6-12 months’ administration experience would be advantageous but is not a requirement.
- Experience working in private wealth/Wills and Probate Department ideal but not essential.
