About the Role: We are looking for an experienced, organised, proactive, and detailâoriented Bid and Communications Coordinator to join our team. In this pivotal role, you will manage and coordinate all documents for bid submissions, ensuring they meet our exacting standards. Based in Edinburgh and working closely across the practice â often to tight deadlines â you will play a key role in securing new opportunities.
Key responsibilities will include:
- Guiding the format and content of submissions.
- Conducting market research and analysing bid success rates.
- Contributing to award submissions.
- Managing tender portals.
- Creating compelling communications for internal and external audiences.
- Developing and managing our social media presence, ensuring our digital storytelling showcases the practice's work, values, and design identity.
Additional responsibilities:
- Manage all tender portals, preâqualification questionnaires, invitations to tender, and interview presentations.
- Coordinate and oversee bid processes, ensuring submissions are of the highest quality.
- Arrange and manage all documentation required for submissions.
- Assist with award submissions, including collating and proofing content.
- Provide content for our website, social media, newsletters, and project updates.
- Track and analyse bid success, using insights to inform future strategies.
- Lead the social media team.
What weâre looking for:
- The ability to manage conflicting demands, prioritise tasks, and perform under pressure.
- Exceptional attention to detail and a high level of accuracy.
- Advanced IT skills; some prior knowledge of Affinity is an advantage but not essential.
- A creative awareness of the written word, image, and design.

- A personable and approachable demeanour, with excellent communication skills.
- Relevant prior experience in a similar role.
