We are seeking a highly organised, proactive and experienced Office Manager to join our Edinburgh studio. This is a varied, hands-on position suited to someone who takes pride in creating an efficient, well-considered and welcoming working environment, while providing assured support to a busy and design-focused team.

The successful candidate will be a central source of support to the Edinburgh and Glasgow Directors and senior team, helping to coordinate studio operations, refine internal processes and contribute to the smooth day-to-day running of the practice. The role also includes responsibilities relating to Health & Safety and Fire Marshal duties.

Responsibilities will include:

  • Preparing correspondence, managing supplies and studio resources, coordinating travel, supporting administration, and ensuring the office remains professional, efficient and welcoming for colleagues, clients and visitors alike.
  • Supporting bid activity in collaboration with the bid team and Directors across our UK studios, helping to prepare clear, well-presented submission materials using desktop publishing software such as Photoshop and InDesign.
  • Coordinating a broad range of internal and external meetings, as well as client and staff events, ensuring they are organised with care and professionalism. This includes managing logistics, sending invitations, booking venues, arranging transport, and providing high-quality administrative support to ensure events run smoothly and reflect the standards of the practice.
  • Maintaining social media channels and supporting website updates, contributing to a clear and consistent presentation of the practice.

What we’re looking for:

  • A self-motivated, proactive and highly organised approach, with the ability to work independently and exercise sound judgement.
  • Experience working in a professional, fast-paced environment, with tact, discretion and confidence in dealing with a wide range of contacts.
  • Strong Microsoft Office skills, particularly in Word, PowerPoint and Excel.
  • Excellent general IT skills, with a high level of accuracy and attention to detail.
  • Strong organisational skills, with the ability to manage multiple priorities while maintaining a consistently high standard.
  • The ability to work calmly under pressure and meet tight deadlines.
  • Excellent attention to detail, including strong proofreading and document presentation skills.
  • Strong interpersonal skills and the ability to build positive working relationships across the practice.
  • Experience managing diaries and arranging travel and accommodation efficiently.
  • A positive and adaptable approach, with a willingness to take on new responsibilities and support a growing team.
  • A flexible, practical and professional approach to work.
