Role Purpose

A highly self-motivated and passionate team player with great attention to detail. The key focus for this role will be to create a single and visual point of contact for client visitors and employees and to act as the primary interface between the internal operations of stakeholders and our client Rolls-Royce at Solihull. Providing services to the highest possible standards as well as representing the client and JLL values in appearance, presentation and manners. You will take ownership and manage the front of house experience; help orient and settle new and visiting staff and support the facilities management team in providing a great workplace experience and provide the necessary support for business-related events and community-based initiatives. In this role, you will bring your people-focused skills including strong stakeholder management and relationship building, continuous engagement and communications as well as your ability to proactively support the needs of our staff, clients and business partners. Your ability to proactively resolve queries and issues will be the cornerstone to your success in this role.

Key Responsibilities

  • Visitor and Contractor Management: Maintain a professional reception service to all guests and colleagues on site, greeting in a professional, friendly and courteous manner at all times. Issue and manage security passes (printing, activating, cancelling). Manage sign in/out procedures and record all visitors onto site using SINE. Communicate visitor arrivals to relevant personnel promptly. Advise visitors of fire alarm tests and muster points. Manage forgotten passes for employees. Maintain stock levels pass holders/cards and lanyards.
  • Reception and Switchboard: Maintain an organised, welcoming and tidy Reception area. Answer, screen and transfer calls for Solihull. Manage the reception and meeting rooms inboxes. Opening up Front of house and closing.
  • Meeting Room Management: Process room bookings. Manage the meeting room diary arranging all requirements beforehand. Set up meeting rooms with hospitality equipment. Set up and clear down meeting rooms, including arranging furniture to suit meeting requirements. Liaise with JLL Cleaning team regarding meeting room cleaning requirements. Ensure all meeting spaces are set to a defined standard. Liaise with Site services with meeting room layout requests and resets.
  • General Administration: Manage site stationery supplies. Make taxi bookings by phone. Control of C-Cure. Adding areas of the building to ID badges. Creating ID passes. Manage hire car collection/drop off. Raise work requests through the system for maintenance and cleaning. Carry out administration tasks to support the business. Distributing paper and stationery to each area in the building. Printing WI-FI codes and distributing them out.
  • Facilities Support: To report any faults or health and safety concerns to the relevant person or department. Ensure a safe and healthy working environment is available for yourself and fellow team members to perform their/your duties.
  • Health, Safety, Quality and Environment (HSQE) Support: Support Emergency Evacuation procedures. Always follow Group and company policies and procedures. Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment.
  • General Duties: Work to standard operating procedures implemented across corporate facilities. Ensure performance is compliant with agreed SLA. Support the review of procedures and processes. Put forward suggestions and initiatives for service improvement. Ensure all customer requests are dealt with efficiently and effectively.

Person Specification

Essential: Passionate about exceptional customer service with a flexible and proactive approach. Experienced in Front of House or Reception, ideally within a corporate or 5-star hotel environment. Ability to build positive relationships with colleagues, guests and clients at all levels, including Senior Executives. Able to work on own initiative with minimal direction. Confident in managing emergency situations and making decisions as required. Strong team player with commitment to supporting colleagues and a 'can do' attitude. Excellent written and oral communication skills. Exceptionally organised with skilled multi-tasking abilities. High attention to detail. Computer literate with working knowledge of Microsoft Office (Word, Excel, Outlook). Clear understanding of Health & Safety practices. Customer focused with enthusiastic and conscientious approach. Clear, strong and confident communication skills.
