Role summary:
Multi-Functional role between Reception and Postroom, the majority of the role will be reception cover.
Reception-the role will require you to be front of house and this will require a high standard of professionalism, excellent customer service.
The Post room will require the job holder to be able to multitask in sorting incoming post and outgoing post/parcels within daily deadlines.
Making sure all documentation is kept up to date and processes followed to make sure we are achieving a great service to our client.
What this job involves:
It is imperative that the person is a good team player and can be flexible when required. This role is Part time however does require a great deal of flexibility in duties.
Reception: β
Answering calls on the switchboard and transferring to appropriate department.
It is important that the telephone is answered promptly, and all calls are managed appropriately and ensuring that callers are transferred to the correct contact.
The job holder will be required to both meet and greet visitors and man the switchboard.
All visitors should be greeted in a courteous and professional manner ensuring they are familiarised with the facilities whilst waiting such toilets, wi-fi access, Health & Safety and Fire Procedures.
Must have good PC skills as the job holder will be required to maintain the security and access system, respond to emails, and send communication email out to the business, supporting site services and post room when required all training will be given.
Post room: β
Making sure that all the incoming post is distributed daily to the appropriate department/people.
To mange the out going post which will require it to be logged on the system for Royal Mail or Parcel force.
Manifesting reports at the end of day.
Ordering post room supplies.
Running the finance figures at the end of each period.
Keeping all spreadsheets up to date.
Following processes.
Responding to emails in a timely manner.
