The UK&I Project Operations Lead, D&C serves as the senior operational and strategic liaison for the client, ensuring excellence in project delivery, data integrity, and regional performance. The role drives operational consistency, oversees project documentation in the project tracking tool PMWeb, governance, and supports Project Managers to ensure successful execution across all assigned projects.
Major Responsibilities
- Ownership
- Develop comprehensive project execution plans including scope, scheduling, and risk mitigation.
- Upload all required project documentation to client systems (PMWeb) at each stage of the project.
- Monitor progress across all assigned projects and ensure data accuracy.
- Conduct regular data reviews and provide analytical insights.
- Collate and evaluate supply chain quotations.
- Ensure all deliverables meet quality, regulatory, and client standards.
- Manage scope changes through formal change control processes.
- Oversee the contract award process, ensuring correct contract forms, approvals, and documentation are in place.
- Client & Stakeholder Management
- Serve as the primary point of contact for project management in the region for JLL.
- Ensure PMWeb is consistently updated to contractual obligations with the client.
- Build and maintain strong relationships with key client stakeholders.
- Collaborate with the Client and Project Managers to plan and review capital works.
- Coordinate with the D&C team on BAU and small works planning.
- Maintain a deep understanding of the client’s business drivers.
- Financial Management
- Work with project managers to collate, validate, and upload project quotations and select the correct form of contracts.
- Identify gaps and provide insights into financial processes.
- Responsible for date input for cost reporting, change management including forecast.
- Contract Management
- Ensure full adherence to contractual requirements.
- Report on KPIs, service levels, and performance measures.
- Manage and escalate contract changes through formal processes.
- Identify and mitigate risks with proactive strategies.
- Maintain complete documentation including minutes, decision logs, and audit trails.
- Escalate disputes or contractual issues with supporting documentation.
- Reporting
- Ensure PMWeb data remains accurate and up to date.
- Share PMWeb knowledge to improve collaboration and efficiency.
- Coordinate communication across time zones and with variable Project Managers across each cluster.
- Deliver precise and clear reporting to internal teams.
- Drive process standardization and best practices.
- Support the PJM in client reporting, key issues, risk, milestone and budget.
- PMWeb Subject Matter Expertise
- Act as the PMWeb SME for the cluster.
- Lead training of Project Coordinators and ensure system adoption.
- Resolve technical issues and maintain system performance.
- Ensure all reporting meets client and JLL standards.
Ideal Experience
- 5-7 years in project/programme management or project support role in Corporate Real Estate.
- Experience managing Financial Institution clients.
- Proven ability to convert client insights into operational and process innovations that enhance delivery.
- Proven success supporting complex projects and management systems.
- Experience managing senior-level client relationships.
- Ability to manage multiple projects across the cluster.
