We are looking for a highly motivated Operations Executive to support day-to-day operations and strategy execution for EMEA Debt & Structured Finance, reporting to the Operations Manager, Debt & Structured Finance, EMEA Capital Markets.

Key Responsibilities

  • The successful candidate will manage shifting priorities across client event planning, marketing, and project management of debt and structured finance transactions.
  • Operating in a fast-paced, team-oriented environment, you will partner with producers, analysts, and associates to drive the debt team's deal flow and overall success.
  • This role requires adaptability, strong organizational skills, and the ability to contribute to both tactical execution and strategic initiatives.
  • Support and oversee the Debt team's billing readiness by working with billing and deal teams to ensure contracts are activated in a timely manner and in advance of deal closing.
  • Maintain Capforce pipeline data, working with analysts to progress opportunities when needed.
  • Produce regular pipeline reports to Debt Co-Heads for monthly flash forecasting.
  • Monitor and escalate to ensure supporting documents required for KYC & revenue recognition are submitted promptly so revenue is recognised as forecast; where the broker confirms deal is delayed, Capforce is updated immediately and Finance informed.
  • On the first working day of the following month, close settled opportunities on Capforce.
  • Liaise and work closely with the billing team to resolve any queries related to Debt invoicing.

Business Operations

  • Act as the primary onsite contact for ad hoc queries and actioning with business support assistance.
  • Collaborate with offshore admin, billing, travel and EA teams to ensure efficient completion of daily tasks for yourself and the team.
  • Host weekly meetings with CMG Admin on the expense process to oversee and ensure smooth running order.
  • Support operational improvements by sharing best practices, standardising processes, and promoting effective tools and training.
  • Coordinate the joiner and leaver processes for team members, including collection/return of IT equipment and submitting set-up requests with JLLT for Capforce, Horizon and team shared drives.
  • Champion and share AI knowledge to improve team efficiencies.
  • Take initiative to support the team with new projects or processes they wish to implement.
  • Attend weekly team meetings and monthly Director meetings, taking detailed notes and tracking action items.
  • Organise, manage, and oversee events for the team, both internal and external, utilising team business support assistance.
  • Manage event budgets and cost tracking, ensuring invoices are correctly cost-coded and paid on time.
  • Coordinate recruitment discussions and provide support as needed, connecting with TA and PXP.
  • Oversee extensive travel arrangements for Co-heads, ensuring bookings are completed and correctly entered in diaries.

Requirements

  • Strong communicator, proven ability to engage with senior stakeholders.
  • Intermediate level of Excel.
  • Strong working knowledge of Capforce CRM system.
  • SME on JLL EMEA C2B processes including intercompany fee share would be an advantage.
  • Collaborative, keen to learn new skills and has the confidence of staff in a collaborative manner.
  • Exemplary interpersonal skills, fostering strong relationships with internal collaborators.
  • Good understanding of financial management and reporting.
  • Excellent multitasking abilities with strong prioritisation skills to manage competing demands effectively.
  • Resilient character with the ability to work confidently.
  • Thrives in a fast-paced environment while maintaining attention to detail and ensuring no tasks are overlooked.
