The CMMS Maximo Administrator is responsible for managing, configuring, and optimizing the Computerized Maintenance Management System (CMMS) to support facility operations and maintenance activities across the global portfolio. This role ensures data integrity, system functionality, and user adoption while providing technical expertise, training, and analytical insights to maximize operational efficiency and support strategic decision-making.

Responsibilities

  • System Administration & Configuration: Manage comprehensive user maintenance including setup, security profiles, and site access permissions to ensure appropriate system access across the organization. Upload new site information, assets, schedules, and procedures as sites come online, and perform bulk uploads of new assets for sites in support of new construction or inventory reconciliation projects. Decommission buildings and sites in CMMS as needed to maintain accurate portfolio representation.
  • Data Management & Quality Assurance: Develop and maintain accuracy of work order related data ensuring consistency across the portfolio. Add equipment to PM plans, schedules, and procedures, and define scheduled due dates through a maintained SLA for system-generated work orders. Support management in quality assurance review of work order data accuracy including equipment on work orders, booked hours for employees and vendors, work order type, closing codes, and work order comments. Input records and updates to IoT asset management system and reconcile with CMMS to ensure system integration and data consistency.
  • Work Order & Asset Management: Support management in the scheduling and assigning work by managing work orders in the system and ensuring proper creation, planning, update, and closure of work orders. Work with the facilities team to develop, standardize, and maintain lists of critical equipment across the portfolio. Add, update, and review inspections for sites on the account to maintain compliance and operational standards.
  • Analytics & Reporting: Measure and publish KPI metrics to the management team. Interpret data, troubleshoot processes, and make recommendations based on findings to drive continuous improvement and operational excellence.
  • Training & Support: Provide training to end users and serve as liaison for problem solving and escalation. Manage daily administrative tasks that are asked of the CMMS team to ensure smooth system operations and user satisfaction.

Experience & Qualifications

  • Required Qualifications: Prior experience with a CMMS system or asset management system preferred. Demonstrated ability to work independently with little supervision and effectively deal with stressful situations.
  • Technical Skills: Proficiency in SQL for data manipulation and reporting. Proficiency in a range of information technology tools and platforms. Knowledge of local occupational health and safety requirements, critical facilities, and vendor management for specialized services is advantageous. Understanding basic technical aspects of property including mechanical, fire protection systems, and mechanical and electrical systems is advantageous.
  • Core Competencies: Excellent communication, organization, and problem-solving skills. Self-motivated with a confident, energetic, and flexible approach to work. Strong analytical capabilities with ability to interpret complex data and provide actionable recommendations.
