JOB TITLE: MULTI-SKILLED SERVICE PARTNER – EVENTS
REPORTS INTO: FACILITIES MANAGER
ABOUT THE ROLE:
A multi-disciplinary role supporting the events team within our Berlin office. Delivering day-to-day support to ensure the smooth running of our events service, providing an exceptional customer experience within our client sites.
KEY RESPONSIBILITIES:
- Work with the client events team to ensure all events are successfully supported relating to facilities, as well as support the day-to-day running of the office.
- Perform conference and event room furniture setups for meetings and events.
- Regularly work with external contractors, such as cleaning, production crews, and event hosts.
- Assist with the coordination and booking for internal events.
- Carry out daily quality audits of all event spaces, furniture, and equipment.
- Collaborate with event hosts before, during, and after events to solve problems and resolve spontaneous and unique situations.
- Work in accordance with health and safety measures and promote best practices among colleagues, contractors, and vendors.
- Ensure preventative and reactive tasks are completed within the SLA timeframe with the Facilities team.
- Provide timely follow-ups to colleagues and customers via emails, task systems, social posts, and face-to-face interactions.
- Support the multiservice team, including events, mailroom, facilities, and MAC where needed.
WORKING LIFE:
- You will work across one site daily.
- English is the main language; knowledge of English and the local language is essential.
- Occasional work on weekends or bank holidays may be required, arranged in advance.
- You may need to be on call 24/7 in rotation with colleagues.
- The role is structured on a shift basis over a 5-day week.
- You will develop within the workplace, supporting a multidisciplinary team to gain knowledge and expertise.
- You will work collaboratively, solving problems professionally with a service-focused approach.
- Stay updated on industry trends, with experience or interest in facilities management and customer service.
- Possess good communication skills and be adaptable to changing requests and projects.
- Be familiar with computer programs such as Word, Excel, and Outlook.
