Join the JLL team and provide essential support as an Event & Activation Assistant on the Hammerson account, a key client for JLL. In this role, you will support the coordination of events and activation experiences across Hammerson\’s destinations, working closely with the Hammerson Marketing & Placemaking and Brand Partnerships Teams, the JLL Property & Asset Management team, and the Destination teams.
Working under the guidance of the Event & Activation Manager, you will assist across a diverse portfolio of experiences that span the cultural landscape whilst consistently delivering exceptional creative execution. Your remit will encompass everything from live music festivals and sporting events to light shows, art installations, and retail brand activations. This offers the opportunity to develop expertise across multiple event categories, from intimate VIP gatherings to mass-attendance public experiences.
As the Event & Activation Assistant, you will assist in implementing event plans, reviewing documentation, and supporting stakeholder relationships to ensure the successful execution of events, from initial concept development through to completion.
Key Responsibilities
Stakeholder Support
Assist in maintaining relationships Hammerson’s Marketing & Placemaking and Brand Partnerships Teams, Destination management teams, and relevant key stakeholders
Provide administrative support for stakeholder communications and meetings
Planning and Coordination
Support the Event & Activation Manager in developing event timelines and schedules
Gather and organise documentation for insurance and risk management purposes
Assist with compiling information on legislative and licensing requirements
Collect technical specifications for events and maintain production records
Create and maintain briefing materials for Destination teams and Event Organisers
Schedule and prepare for pre-event planning meetings
Health, Safety & Security
Assist in the collection and organisation of event safety documentation
Support compliance processes related to the Working Practices Manual
Help monitor adherence to H&S and Environmental procedures
Upload and organise event management documentation to JLL\’s risk management platform
Track security requirements and supporting documentation
Supplier Coordination
Liaise with suppliers to collect necessary H&S, security, install/de rig documentation
Communicate contractor management protocols and access requirements
Provide on-site assistance during building, event, and break down stages
Team Support
Attend internal stakeholder meetings and take detailed notes
Maintain records of all events, communications and documentation
Report directly to the Event & Activation Manager
Post-Event Activities
Collect feedback from events for analysis and key learnings
Help document incidents and compile reports
Assist in analysing event performance metrics
The Candidate
Relevant experience in event coordination or production assistance. The ideal candidate should have good communication skills, basic understanding of event safety requirements, confident managing multiple stakeholders and strong organisation skills.
Experience in supporting event management plans, maintaining documentation, and basic knowledge of Health, Safety and Security practices is important. The candidate should be comfortable building relationships with various stakeholders and have a willingness to learn about relevant legislation including the Health and Safety at Work Act and The Terrorism (Protection of Premises) Act – (Martyn\’s Law).
