What This Job Involves
- Extensive diary management across multiple time zones
- Full inbox management
- Organising international travel including meeting and transport arrangements, confirming accommodation, and producing detailed itineraries often of a complex nature
- Assisting in organising external meetings and operational meetings in various locations around EMEA, AMER and APAC region
- Dealing with telephone calls and emails from clients and colleagues in a professional manner and escalating any issues
- Developing and maintaining effective working relationships with colleagues and clients
- Drafting documents and correspondence
- Organising client entertainment, both in the UK and globally
- Organising internal and external lunches & dinners, booking the relevant dining rooms and restaurants both in London and globally
- Organising meetings and presentations booking the relevant rooms and equipment both in the UK and globally
- Ensure the travel plans align with meeting schedules and objectives
- Ascertain finding the most cost effective and sustainable options, in line with JLL and client T&E policy to ensure the most cost effective and sustainable travel is booked, where possible
- Implement the JLL and Client T&E process by ensuring receipts are obtained and submitted on a timely basis, be link point between expenses processing hub and relevant teams and help resolve queries raised by the T&E team
- Review expenses on behalf of Senior’s, raising necessary queries with stakeholders
- Work closely with the internal stakeholders to ensure effective communication across the business
- Providing wide ranging administrative assistance
- Support with project work (as applicable)
- Support with material preparation as and when required

Experience
- Proven experience as an Executive support to demanding Stakeholders
- Highly organised ability to multitask and prioritise tasks
- Proficient knowledge of technology / IT applications i.e., Word, Excel, Teams, SharePoint with strong PowerPoint
- Experience with large multinational corporate environment
- Experience within a demanding and fast paced, ever-changing environment
- Great verbal and written communication skills
- Ability to work independently with minimal supervision
- Understands and appreciates the importance of using discretion
