As a back-office staff member for the UK branch, you will be responsible for a wide range of tasks from building the foundation of the organisation to daily operations. While remote work is the norm, you will regularly visit the London or German office to support local staff and improve the office environment, as well as facilitate smooth communication with the Japan headquarters. In the future, you will have the opportunity to take on more responsibilities as the local organisation expands.
Key Responsibilities:
- General Affairs and IT Asset Management: Support onboarding of new employees, manage PC and peripheral equipment procurement, and oversee IT asset management.
- Labour and HR Support: Coordinate with payroll outsourcing, create employment contracts, manage attendance and benefits, and assist with minor updates to internal regulations in accordance with UK labour laws.
- Accounting Support: Provide initial approval for expense claims, process invoices, manage corporate credit card statements, and assist with monthly closing activities with local accounting firms.
- Bridge Operations with Japan Headquarters: Regularly report to the Japan headquarters and consult on localising regulations.
Qualifications (Required):
- Business-level proficiency in English and Japanese (ability to read, write, and negotiate in both languages).
- Experience in back-office operations such as general affairs, HR, or accounting in a business setting.
- Comfortable with IT literacy (using tools like Slack, Zoom, Google Workspace, and basic PC setup knowledge).
- Must reside near London or be able to relocate promptly after hiring.
- Experience using generative AI (e.g., ChatGPT, Gemini, ClaudeCode).
Qualifications (Preferred):
- Work experience in the UK or understanding of UK business customs and labour environment.
- Over 3 years of experience in back-office operations such as general affairs, HR, or accounting.
- Any administrative or assistant experience.
- Aptitude for organising complex matters and creating manuals and systems.

- Flexibility: Positive attitude towards sudden changes and a wide range of tasks, with a sense of urgency.

Compensation:
- Hourly wage: £16-18 (based on experience and skills). Salary will be adjusted to GBP based on UK visa requirements and local living standards upon transfer to the UK.
- Transportation costs: Provided separately.
- Working hours: Flexible working hours (full flex).
- Work style: Recommended remote work (hybrid model) with an expectation of visiting the London office (or designated location) once a week.
