As a back-office staff member for the UK branch, you will be responsible for a wide range of tasks from building the foundation of the organisation to daily operations. While remote work is the norm, you will regularly visit the London or German office to support local staff and improve the office environment, as well as facilitate smooth communication with the Japan headquarters. In the future, you will have the opportunity to take on responsibilities related to operational construction as the local organisation expands in a global environment.
Key Responsibilities:
- General Affairs and IT Asset Management: Support onboarding of new employees, manage PC and peripheral equipment arrangements, oversee IT asset management, and maintain and improve the office environment.
- Labour and HR Support: Collaborate with payroll outsourcing partners, create employment contracts, manage attendance and benefits, and assist with minor updates to internal regulations in accordance with UK labour laws.
- Accounting Support: Provide first approval for expense reimbursements, process invoices, manage corporate credit card statements, and assist with monthly closing tasks in collaboration with local accounting firms.
- Bridge Operations with Japan Headquarters: Regularly report to the Japan headquarters (administrative department) and consult on localisation of regulations.
Required Qualifications:
- Business-level proficiency in both English and Japanese (ability to read, write, and negotiate in both languages).
- Experience in back-office operations such as general affairs, human resources, or accounting in a business setting.
- Comfortable with IT literacy (using tools like Slack, Zoom, Google Workspace, etc., and basic PC setup knowledge).
- Must reside near London or be able to relocate promptly after hiring.
- Experience using generative AI (such as ChatGPT, Gemini, ClaudeCode, etc.).
Preferred Qualifications:
- Work experience in the UK or understanding of UK business customs and labour environment.
- Over three years of experience in back-office operations such as general affairs, human resources, or accounting.
- Any administrative or assistant experience.
- Adept at organising complex matters and creating manuals and systems.

Compensation:
- Hourly wage: £16-18 (based on experience and skills). Note that upon transfer to the UK, salary will be adjusted to reflect UK visa requirements and local living standards.
- Transportation costs: Provided separately.
- Working hours: Flexible working hours (full flex).
- Work style: Remote work recommended (hybrid model) with an expectation of attending the London office (or designated location) once a week.
