About the role
You\’ll be responsible for our global employees\’ overall workplace experience (both in office and remote), making sure that they have everything they need (within reason) to be happy, healthy and productive. You will also take on some office management responsibilities; you\’ll be the glue that brings together our office and keeps all the different parts working smoothly.
Our London office is home to a full stack team spanning sales, engineering, product and operations so there are a lot of different personalities and a lot of different team needs. Overall, we\’re looking for someone who loves bringing structure to a fast paced environment. Your goal is to create an exceptional workplace experience and build a community among colleagues. This will give you the opportunity show off your logistics and problem solving skills whilst advocating for a positive and inclusive office culture. You need to be ahead of the curve, spotting the small details before they develop into a problem and proactively combating them without needing to be told. To the rest of the team you\’re a magician or mindreader; everything they see looks exciting and effortless without knowing what happens behind the scenes to make it happen.
You\’ll be…

  • Greeting guests to our office, signing them in, making sure NDAs are completed appropriately and then showing them around the space- making sure they are comfortable and feel looked after.
  • Responsible for the onboarding process for new joiners and act as their first point of contact.
  • Liaising with our tech teams to check that new joiners and existing staff have all the tech equipment they need.
  • Developing and implementing office procedures to promote a safe, healthy, and productive work environment. You\’ll make sure it remains clean and presentable, and ensure people are respecting their environment.
  • The first point of contact for operational queries across London, Barcelona and European remote team members.
  • Coordinating office relocations, renovations, repairs, and maintenance projects, ensuring minimal disruption to daily operations.
  • Managing vendor relationships and negotiating contracts for services such as cleaning, catering, and office supplies.
  • Handling inbound and outbound post.
  • Arranging gifts to celebrate milestone moments for colleagues.
  • Helping coordinate the various clubs at Jigsaw to foster community and team-building
  • Making sure that the fridge is stocked and there\’s a constant supply of tasty office snacks that cater to everyone\’s preferences. You\’ll keep on top of the breakfast orders on core days (Mon, Wed and Fri) so that everyone can start their day healthily
  • Planning social events for the office, anything from impromptu team drinks, regular team socials to off-sites, summer and winter parties.
  • Coordinating with the US offices to make sure our global sites feel connected and part of a bigger Jigsaw team.
  • Assisting our CEO and other members of the management team with lunches, travel and other admin requests.
  • Recruitment coordination including scheduling interviews and booking rooms
  • Adhoc operational duties as required

You\’ll need..

  • Impeccable organisational skills and enjoy accomplishing tasks big or small. You love a list but you realise that it needs a certain degree of flexibility – not everything will get neatly ticked off each day as you never quite know what else may come up.
  • Bringing order to chaos and holding people accountable for not tidying up after themselves.
  • Strong interpersonal and communication skills, particularly high in EQ and empathy, with the ability to interact with people at all levels.
  • Proficiency in Microsoft Office Suite and other office management software.
  • Ability to adapt quickly to changing priorities and thrive in a fast-paced environment.
  • Enthusiastic and positive attitude, with a passion for creating a vibrant and inclusive workplace culture.
  • Strong attention to detail and cares about things being done to a standard you can be proud of.
  • Previous office management experience in a start up environment would be preferred but not essential.
  • A fondness for adorable office pups wouldn\’t go amiss.
