JOB PURPOSE

To provide efficient and accurate admin support the buying team.

This includes full sample management, order tracking and critical path management as well as other general admin duties.

  • KEY DUTIES AND RESPONSIBILITIES
  • Sample Management
  • Managing the movement of all samples.
  • Ensuring all samples are labelled and accounted for.
  • Preparing the sample collection for internal and external presentations.
  • Ensuring correct samples are handed over for ecom/campaign/marketing.
  • Preparing and labelling weekly best/worst sellers for weekly Trading Meeting.
  • Ensuring the relevant samples are fitted during bi-weekly fit meetings.
  • Attending and engaging in fit sessions – preparing fit lists, writing up fit comments during the meeting, tagging product where necessary and updating range plan following each session.
  • Critical Path Management
  • Continual communication with suppliers keeping on track of critical path.
  • Chasing suppliers where necessary for samples from development through to final production.
  • Ensuring samples arrive on time in order for delivery dates to be maintained.
  • Engage and lead in weekly tracking meetings, presenting back any issues to rest of the team.
  • Regularly checking that suppliers have everything required to meet the delivery date i. e. barcodes, swing tags.
  • Filing and organising all lab dips and swatches in an appropriate manner, communicating approvals to suppliers where required.
  • Understanding the range plan document to ensure details are uploaded onto the system correctly
  • Liaising with data entry admin to ensure POs are raised in a timely manner and accurately, and that any amendments are actioned.
  • Effectively checking own work to ensure it is correct before sending out to supplier
  • Updating and maintain system and range plan accurately as and when changes occur
  • Brand Awareness
  • Conducting regular competitive shops, and presenting findings back to the team
  • Visiting stores on a regular basis and making suggestions/recommendations upon return
