The Secretary II Radiology reports to Unit Management. Responsible for the written records and reports which comprise the patient\’s medical record for each hospital admission/visit, processes all physician\’s orders; maintains chart forms for nursing personnel to record their observations on patient care; files reports from ancillary departments pertaining to each patient. May schedule appointments, cases, and add-ons; may enter charges for services. Also accountable for maintaining open communication between nursing staff, physician, inter-departmental personnel and the patient.
Responsibilities
A day in the life of a Secretary II, Radiology at Hackensack Meridian Health includes:
- Consistently adheres to and understands HMH and unit specific policies and procedures.: Maintains a clean and safe and ergonomic environment, maintains equipment, reports malfunctioning and orders service as necessary. Extra equipment and supplies are removed. Broken equipment or furniture is promptly reported to appropriate department.
- Consistently performs clerical duties with little or no supervision. Displays resourcefulness in the completion of daily tasks and special projects.: Provides clerical support as needed to facilitate the smooth operation of the unit. Examples of duties may include but are not limited to: Sorts and distributes mail. Requests internal services (i.e. media services, print shop, meeting rooms etc).
- Cooperates with reassignments in the interest of guest/patient care.: Adapts work schedule to meet the needs of the unit. Ensures adequate staffing needs are met through willingness to float.
- Data Entry: Enters orders for proper tests for ancillary departments such as Lab, X-Ray, EKG, and Dietary, as noted on the patient\’s chart. Proficient in computer usage relative to all guest/patient transactions. Activities are coordinated with minimal delay or distraction.
- Directs internal and external customers in the desk area to their proper destination.: Interacts with all visitors, coworkers and other departments in a courteous and efficient manner. Shows good judgment and independent thinking. Acknowledges individuals that enter the work area. Identifies ways to assist the individual.
- Patient Chart Preparation and Maintenance: Prepares patient chart upon admission/visit and maintains chart as appropriate. (Admission, Transfer, Discharge, Preoperative, Postoperative). Files materials as requested in patient charts (e.g. care plans, lab reports etc); thins charts.
- Performs all guest/patient record activities: Performs all guest/patient record activities and charting transcriptions with accuracy. Assignments are accurately completed with minimal supervisory counseling. Transcribes physician orders in a timely manner for nursing staff use. Capable of prioritizing.
- Performs all tasks associated with maintaining accurate guest/patient census.: Demonstrates timely updating of guest/patient information into the computer system. Accepts transfers and admissions. Calls Admitting. Updates census board. Communicates with staffing office.
- Supply Maintenance: All shifts are responsible for ordering and maintaining supplies for adequate availability to staff and guests/patients. Ensures supplies are sufficient. Orders supplies within established limitations and according to established guidelines.
- Telephone coverage.: Timeliness and urgency of communicating phone messages and guest/patient related issues are given utmost attention. Able to prioritize and handle tasks without delay in the guest/patient care process. Provides appropriate telephone coverage for the unit.
- Utilizes computer system to input and process medical data accurately and completely, or makes use of alternative methods. Ensures charge and diagnosis are complete.: Enters all guest/patient charge information into sms to ensure accurate statistical information for reporting purposes. All charges are entered before patient is discharged. Right patient, right charge, right date. Take errors out, issues credits.
- Other duties and/or projects as assigned.
- Adheres to HMH Organizational competencies and standards of behavior.
Qualifications
Education, Knowledge, Skills and Abilities Required:
- High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
- Excellent written and verbal communication skills.
- Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.

Compensation
Starting at $20.32 Hourly
HMH is committed to pay equity and transparency for our team members. The posted rate of pay in this job posting is a reasonable good faith estimate of the minimum base pay for this role at the time of posting in accordance with the New Jersey Pay Transparency Act and does not reflect the full value of our market-competitive total rewards package.
