Role Purpose: To enhance the RMD/RD’s effectiveness by providing personalised administrative assistance and ensuring seamless coordination of tasks across the Leadership Team.
What You’ll Be Doing
- Provide day-to-day PA support to the Director and their Senior Team.
- Timely and accurate diary management including arranging travel, accommodation and scheduling meetings as required.
- Carry out administration duties such as inbox management, filtering and prioritisation of mail, expenses and business mileage as required.
- Coordinate and assist in the control of departmental activities, e.g. collating information for departmental reports and creation of materials for meetings.
- Manage all event and meeting coordination in line with the team’s requirements including customer entertainment events.
- Act as a go-to resource for the team, signingpost and directing colleagues to relevant information, processes and contacts.
- Support the senior team with regards to new starters (ordering IT equipment, corporate work wear, mobile phones, etc.).
- Record and track all corporate hospitality for the team and manage departmental invoices and payments as necessary to support audit processes.
- Complete absence recording for the designated team.
- Manage regular reports relevant to the department (e.g. ICON, Safety, Headcount).
- Role model Stark Values and Code of Conduct.
What We’re Looking For
- Significant experience working as a PA at a Senior Director level.
- Exceptional organisation skills and ability to manage simultaneous priorities. Excellent written and verbal communication skills and the ability to communicate effectively with colleagues at all levels.
- Ability to adapt to changing priorities and work effectively under pressure.
- Experience in end-to-end coordination of on- and off-site meetings/events.
- Strong attention to detail.
- Maintains high level of confidentiality and professionalism.
- Proficient in using software such as Microsoft Office and virtual communication and collaboration platforms.
- Good people skills and ability to establish a wide network of contacts across the business.
- Applicants must have a Full UK Driving license and their own vehicle (Essential).

Working Schedule
- Monday to Friday.
- 20 or 25 hours per week.
