You will support all elements of operational business functions; planning, administration and commercial, including providing absence cover. The role expands to highlighting improvements in the operational processes and cross‑functionality, training of new entrants and leading change projects will also be involved.
More about the role
- Lead a team of 3 Business Support Administrators across two depots; supporting the team with their duties and ensuring the highest quality of service to our customers.
- Check and vet all paperwork/information from Sales Managers, ensuring this has been correctly completed and folders are always up to date before handing over to Operations.
- Oversee all scheduling of works, working closely with the Operations Department to ensure efficiencies are achieved and service delivery is at optimum level.
- Support Operations by ensuring the correct personnel and equipment is booked for the following days’ workload to avoid customer turn‑backs or wasted time.
- Manage in line with the ‘Order/Enquiry to Cash’ process.
- Raise new jobs on our Job Management System, ensuring incomplete jobs are reprogrammed and costed for work in progress purposes at the end of each month.
- Raise quotes for inbound sales jobs, CCTV survey estimates from plans and tenders in conjunction with the Sales Director.
- Take ownership of unknown / new customer enquiries as assigned by the Sales team.
- Manage a portfolio of customers from a defined list assigned by the Sales team.
- Deal with customer enquiries / query resolving.
- Oversee and support the Sales Ledger Administrator in the preparation and processing of invoices in a timely manner, ensuring all related information is correct and accurate.
- Ensure continuous improvement, understanding root causes of any errors and working with Operations to implement learnings to reduce recurrence.
- Run daily Private Pod meetings – providing accurate information and tracking revenue.
- Raise and dispatch Private Jobs – taking initial enquiry, quoting works, planning in works and ensuring successful delivery.
- Manage key customer and client relationships and accounts for day‑to‑day delivery of works, building relationships to drive additional work with existing customers.
