Financial Services Administrator

£29,000 – £34,000, plus bonus and benefits

North London – Hybrid Role

Our client has been established for over 40 years, providing outstanding professional financial planning services to its clients for personal and business goals. Due to expansion, they now seek a Financial Planning Administrator to support the IFAs and Directors of the firm, particularly in advice, record keeping, business processing, and managing the firm’s clients and plans with providers.

Specific Responsibilities

  1. Ensure all dealings with customers are carried out in a professional and courteous manner.
  2. Liaise with clients with queries and questions and/or third parties to ensure tasks and cases are processed satisfactorily and in a timely manner.
  3. New Business Processing and recording on back office and Platforms;
  4. Updating Factfinds and IO generally, including tasks and notes.
  5. Undertake sufficient product and market research for specific cases when requested using Analytics and O&M.
  6. Provide Schedules of plans and policies, including Income or Asset schedules when required using Excel and/or Word.
  7. Prepare meeting packs in a timely manner for IFAs.
  8. Complete satisfactory New Business Submission Sheets and Replacement Contract Forms where required.
  9. Maintain IO task records and report to IFA and managers where necessary to avoid potential time delays and issues.
  10. Scanning of paperwork to IO.
  11. Communicating verbally and in writing with providers and clients on basic tasks.
  12. Deal with queries and questions from Advisers and/or clients.
  13. Arrange and complete transactions on plans using relevant Platforms e.g. investment fund switches and withdrawals.
  14. Assist with ad-hoc tasks and requests as they appear.

Relevant Skills and Knowledge

  1. IFA/Financial Services Experience of products and basic understanding of FCA regulatory framework.
  2. Working knowledge of IO Software and Microsoft Office suite.
  3. Knowledge and understanding of firm’s procedures and requirements for business processing.
  4. Understanding of the provision of advice to clients in a compliant manner as detailed in the firm’s compliance manual and procedures.

NB: On the job training and support will be offered regarding systems, procedures, tools, and IO (back office database) to enable the candidate to meet responsibilities and duties.
