Jeffreys Interiors award winning design studio is looking for a calm and collected studio administrator to keep our projects on track and profitable from order to installation. Accomplishing tasks and getting stuff done with efficiency and accuracy is your driver. Must love checking off lists, getting ducks in line, making sure I’s are dotted and t’s are crossed. Diligent is your middle name.

Day to day you will be responsible for:

  • Approving order confirmations against POs.
  • Approving proformas and invoices for payment.
  • Coordinating deliveries, storage and trades to meet install schedules, ensuring everything arrives at the right place at the right time.
  • Support snagging and aftercare, arranging collections and returns.
  • General administrative duties such as expenses, receipts, booking accommodation and travel arrangements.
  • Maintaining sample library and supplier database (info, price lists etc).
  • Ordering office supplies and assisting with the day to day duties to ensure our studio is always presentable, organised and has a full biscuit tin.
  • Manning the studio phone, directing calls and taking accurate messages.

Offering a unique design for every client creates a high volume of purchase orders, deliveries, and supplier accounts to take care of. Few items are on repeat order, and each piece can have multiple components – no two days or two projects are the same.

This role requires:

  • Impeccable organisation and forward planning. You will need to handle lots of moving parts. Expect to support between 10 – 20 live projects, across five designers, showroom and studio.
  • Excellent communication and people skills.
  • Very strong admin skills and a zero inbox mindset, you will live and breathe spreadsheets and project management software (specifically Estipc, TeamGantt and Vend would be a huge plus but training can be provided). Outlook for email / calendars and Microsoft office is a must.
  • Knowledge of xero and general bookkeeping / accounting principles.
  • Solutions orientated with a cool head.
  • Commercial awareness, with a keen eye for detail and numbers.
  • Versatility, flexibility and adaptability.
  • A proactive self starter with plenty of initiative and motivation.
  • Last but not least, a love for dogs. We are in Stockbridge, four legged friends reign supreme. Bonus, puppy cuddles on the regular from shop dog Inca.

Ideally we are looking for a candidate with experience and understanding of the interior design or similar industries that specialise in the complexities of custom orders and bespoke manufacturing.

Full time, working Monday to Friday, 9am – 5.30pm. Flexible working and part time hours would be considered. Based in Stockbridge, Edinburgh. A full clean UK driving license would be beneficial for occasional site visits. Competitive salary and bonus scheme - dependent on experience.
