This full-time Executive Support Assistant/PA role is to support the senior leadership team including the CEO and CFO within the business, as well as provide support to other senior managers as required. You will have either worked in an executive support role previously or have the key skills and business experience to support the management team from developing your career to date.
Roles and Responsibilities- Executive & Diary Management
- Manage complex diaries, meetings and priorities
- Coordinate and plan travel, logistics and itineraries as required
- Anticipate resource and diary conflicts and proactively resolve them
- Appropriately prepare executives for their engagements
- Plan and arrange 121 sessions for the Directors and their direct reports
- Communication & Stakeholder Management
- Act as gatekeeper and first point of contact
- Manage and prioritise emails, calls and correspondence
- Liaise with counterparts within clients, suppliers and investors
- Meeting & Board Support
- Ensure agendas and papers are produced and distributed in good time
- Arrange and coordinate Board meetings – the timing and locations, liaising with Board members and their teams as required
- Attend meetings (SLT, Board etc) as required, taking minutes and actions
- Track actions, ensuring regular updates are collated and circulated
- Project & Operational Support
- Track projects, key initiatives and deadlines, identifying and resolving issues as they arise
- Maintain key internal and external stakeholder relationships
- Host Board and client meetings, arranging refreshments and lunches as needed
- Coordinate across departments to ensure projects and actions remain on track
- Maintain project plans and action logs as needed
- Support execution, raising any issues or actions to appropriate stakeholders
- Oversee day-to-day office processes to ensure the smooth running of the Head Office
- Support DTM’s BCORP, DE&I and ESG agendas as required
- Financial & Administrative Support
- Manage expenses and invoices on behalf of SLT members
- Prepare reports, research and presentations as required
- Maintain an organised digital filing system especially for contracts and legal documents
- Handle confidential information securely
- Support procurement and supplier admin
- Record holiday and absence for the SLT and their direct reports
