We're looking for an organised and proactive Resource Planning Coordinator to support the scheduling, planning and delivery of operational activity across multiple locations. Working closely with operational managers and key stakeholders, you'll be responsible for coordinating schedules, maintaining workforce data, managing capacity and helping ensure services are delivered efficiently. This role would suit someone who enjoys planning, organisation, problem-solving and working with data in a fast-paced environment.

Key Responsibilities

  • Coordinate and maintain schedules across multiple locations.
  • Update and manage activity within scheduling systems, ensuring information is accurate and up to date.
  • Support workforce and capacity planning to meet operational requirements.
  • Set up and manage schedules, availability and resource allocation.
  • Maintain staffing and activity records within workforce management systems.
  • Build strong working relationships with internal and external stakeholders.
  • Manage a shared inbox, responding to enquiries and prioritising requests appropriately.
  • Liaise with external suppliers and agencies regarding staffing requirements.
  • Monitor staffing gaps and follow up on outstanding requests.
  • Produce, update and maintain operational records and documentation.
  • Support operational activity outside normal working hours on a rota basis when required.
  • Ensure compliance with company policies, procedures and data protection requirements.
  • Report incidents and issues in line with company procedures.

What We're Looking For

Essential

  • Previous experience in a scheduling, workforce planning, coordination, administration or operations support role.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Ability to work independently and as part of a team.
  • Good numerical and analytical skills.
  • High attention to detail and accuracy.
  • Strong IT skills, including Microsoft Outlook, Excel and Word.
  • Excellent written and verbal communication skills.
  • Ability to learn new systems and processes quickly.
  • Flexible and adaptable approach.
  • Professional and confident telephone manner.
  • Positive attitude with a proactive approach to work.

Desirable

  • Experience within a regulated or service-led environment.
  • Experience using scheduling, rostering or workforce management systems.
