We are currently recruiting for a Document Controller to join our team based in Hartlepool.
The suitable candidate will control project documentation that is produced by various departments within the company and by JDR’s suppliers, ensuring this is issued on a timely basis to internal departments, to and from customers and to and from suppliers. The role also deals with the correct formatting of documents in accordance with customers’ requirements.
The role deals with project documentation during the project tendering stage and project documentation during the project execution stage. The role requires interaction with the relevant JDR personnel involved during these project stages and the customers’ appointed Document Controller.
Reporting to the Lead Document Controller, your main duties will include:
- Maintain accurate records of all drawings and documents issued from suppliers and various internal departments to and from external customers.
- The Document Controllers will control documentation for a number of different projects at any one time efficiently processing large numbers of documents on multiple projects checking, printing, reviewing and distributing electronically via JDR internal EDMS systems.
- Ensure the Project-specific Master Document Register and Supplier Document Register is raised at the start of the contract and maintained throughout the life of the contract. This format will either be the JDR standard or customer specific.
- Liaison with company’s departments to ensure documentation is submitted to the customer and suppliers accurately and efficiently on a timely basis.
- Manage the submission of all documentation to customers and suppliers ensuring all Project-specific submission requirements are met. Raise transmittal sheets and keep the MDR/SDR updated with each submission and file submitted documentation in the relevant section in the Project file.
- Ensure all documentation returned from the customer with comments is issued to the originator with a copy to the Project Manager and the MDR updated. Ensure the resubmission to the customer is on a timely basis.
- Collate information to produce various document management reports.
Ideally with previous experience of Document Control systems, you must be highly organised with exceptional attention to detail to perform the Document Control Activities. With the ability to multi-task, you will be an analytical thinker who is focussed on delivery. A confident communicator, you will have experience of working with multiple stakeholders with conflicting demands. It is critical that you are able to use your excellent time management skills to ensure that all work is prioritised to timely meet the project requirements.
Excellent knowledge of MS Word, Excel and PDF is essential, together with an ability to write reports. You must be a strong team player who is also able to work alone and under their own initiative.
