Role Overview: The main purpose of this role is to support the Property Data Manager in maintaining and updating the Property database and shared drives within the Property department. This ensures the accuracy, consistency, reliability, and immediacy of property information used across the business.

Key Duties/Responsibilities:

  • Assist with updating the weekly Property Portfolio for the company.
  • Maintain and update the Horizon property database used by the Property department, including but not limited to:
  • Adding new properties, logging ownership changes, fascia updates, landlord changes, floor areas, and area managers to keep information current.
  • Organize and store legal documentation in the appropriate sections of the Horizon database, ensuring accessibility for relevant teams and contacting surveyors or solicitors for missing documents.
  • Manage and archive daily emails received from the Property Invoice team.
  • Scan, save, and provide accurate details of daily received post to external agents.
  • Assist in managing onsite filing and archiving systems.
  • Arrange inspections with external agents and follow up on confirmations.
  • Provide accurate reports to the wider department as needed.
  • Keep both electronic and hard copy information updated.
  • Collaborate regularly with Estates and Acquisition Surveyors, assisting in report compilation and daily management tasks.
  • Support the Property team and Group Financial Accountants by providing accurate information for audits.
  • Skills/Experience/Knowledge needed:

    • Background in administration or data entry within a property-related environment; experience with tenancy agreements is advantageous but training will be provided.
    • Proficiency in MS Office applications, especially MS Excel, Outlook, and Word.
    • Excellent attention to detail and strong organizational skills.
    • Exceptional focus, communication, and interpersonal skills.
    • Creative problem-solving skills and a solution-oriented mindset.
