The Role

We are seeking a detail‑oriented and proactive Operations Support professional to join our team. This role is essential in supporting labour operations by coordinating staffing administration, attendance management, timesheet verification, and labour cost settlement. The position requires strong communication skills to effectively liaise between supervisors, HR teams, service providers, and employees. Attention to detail and bilingual communication (English and Chinese) are critical to ensure accurate workforce records and smooth daily operations.

Key Responsibilities

  • Support labour personnel administration including recruitment requests, staff replacement coordination, and off‑boarding processes.
  • Maintain personnel records by managing account creation, system access, and scheduling setup or adjustments.
  • Provide on‑site onboarding support, including assisting new staff with system registration and facial recognition enrollment.
  • Monitor and manage attendance records, handling attendance exceptions and adjusting system work hours where necessary.
  • Prepare and maintain employee timesheets to ensure accurate recording of working hours.
  • Review and reconcile working hours, communicating with supervisors to confirm missing or inconsistent records.
  • Coordinate labour cost settlement by receiving, consolidating, and reviewing supplier invoices.
  • Follow up on invoice discrepancies through work hour verification and cross‑team communication.
  • Support bills management including coordination, documentation, and settlement processes.
  • Maintain accurate operational records and ensure documentation is properly organized and tracked.

What We’re Looking For

Experience: 2+ years in operations support, workforce coordination, HR administration, or a related role.

Skills: Strong communication, organisational, and problem‑solving skills with excellent attention to detail.

Technical Proficiency: Proficiency in Microsoft Office, particularly Excel, with experience using workforce management or scheduling systems.

Language: Excellent written and spoken English and Chinese, with the ability to communicate clearly with both internal teams and external service providers.

Mindset: Proactive, reliable, and capable of managing multiple tasks in a fast‑paced operational environment.

Desirable Qualifications

  • Experience supporting warehouse, logistics, or labour service provider operations.
  • Familiarity with attendance tracking systems or workforce management platforms.
  • Experience with invoice reconciliation or labour cost tracking.
