Brief Description
To manage all processes for materials, storage, distribution, finished product/raw materials and sampling/dispensing activities at KSP warehouse (Kent Science Park) using well defined and documented processes/procedures, whilst being in compliance with H&S (Health and Safety) and cGMP (current Good Manufacturing Practices) requirements. Where applicable, management/interaction with third party organisations such as CMOs (Contract manufacturing Organisations and/or Partners) is required. This role will include direct people management responsibilities including individual/team performance management. Monitor and report warehouse performance and capacity utilisation whilst actively identifying and mitigating risks to continued stock supply.
Essential Functions/Responsibilities

- The job holder is responsible for maintaining cGxP and H&S knowledge applicable to the job.
- Provides day-to-day leadership, support and direction to the team.
- Dealing with routine staffing matters which occur within their team, escalating any issues as applicable.
- Management for all staff, ensure performance, development is managed appropriately and support/training is carried out where necessary.
- Responsible for all activities/processes within the warehouse and associated storage locations which the warehouse is responsible for, ensuring all staff are suitably trained and adequate resource is available to carry out any activities.
- Responsible for all activities/processes are completed OTIF in compliance with cGMP and H&S requirements.
- The warehouse is subject to visits by senior management, external bodies, regulatory authorities etc. The supervisor will be called upon to conduct tours of the warehouse facility.
- Maintaining the ‘warehouse controlled drug log’ and producing annual figures.
- Where required liaising with other departments to ensure figures are correct.
- Completion/Reviewing of all quality and health and safety documentation associated with the operation of the warehouse at KSP including the management and appropriate document updates.
- Liaise with the planning and distribution teams to ensure capacity requirements and scheduling needs managed effectively.
- Warehouse CI (continuous improvement) and KPI (key performance indicator) management, including risk identification, management and mitigation.
- Manage the completion of cycle counting activities and ensure all monthly/annual figures are produced.
- Competent use of all electronic systems associated with the business – such as, ERP, eQMS etc.
Required Knowledge, Skills, And Abilities

- Picking and delivery of materials to internal customers.
- Receiving of finished product and storing in appropriate storage locations.
- Actively support all despatch operations from B840.
- Maintenance of stock records - ERP system.
- Manage completion of raw material and finished goods cycle counting.
- Sampling/Dispensing activities.
- Accountable for the performance of the Warehouse staff ensuring appropriate levels of support, feedback, training, coaching and development is delivered.
- To lead and participate in project teams as necessary to achieve the company goals and objectives.
- Responsible for monitoring, maintaining and reporting of agreed department KPI’s.
- Responsible for day to day management of direct reports, ensuring that all reports are trained to complete assigned tasks.
- Performance management of direct reports – set performance goals aligned to company objectives.
- Ensure direct reports maintain high standards of performance through training and mentoring.
- Identifying and hiring of suitable staff as required following company procedures.
- Ensuring all storage locations under direct control are managed appropriately.
- Responsibility for receiving and processing of goods, ensuring all details received match details contained on purchase order within the ERP or purchasing systems.
- Receipting transfer orders from CMO’s.
- Provide support for the delivery of materials/goods across the KSP site e.g. materials required for batch manufacture and the handling of materials returned from production departments through completion of transfer orders.
- Ensure the maintenance and operation of warehouse management systems and automated storage and retrieval systems is carried out in accordance with manufacturers recommendations.
- Temperature monitoring and recording of data within temperature-controlled Supply Chain areas and ensuring appropriate action taken for any deviation noted.
- Provide active support for all despatch activities from B840.
- Completion of weekly cycle counting and completion of monthly/annual reports.
- Provide stock movement reporting i.e. slow moving, expiration, retest, near miss or stock outs, damage, accurate storage availability etc.
- Provide active support to ensure successful completion of annual stock‑takes.
- Cleaning of the B840 warehouse, maintain audit ready facility.
- To Identify, manage, participate as required in appropriate supply chain operational and continuous improvement projects.
- Responsible for maintaining cGxP and H&S knowledge applicable to the job.
- Responsible for the completion and/or reviewing of all quality documentation associated with the operation of the warehouse at KSP.
- Lead/support any investigations associated with the warehouse at KSP.
- Promote continuous improvement, the elimination of operational wastes within the warehouse.
- The nature of the work requires the job holder to be flexible, with regards to working hours to ensure all activities are delivered OTIF.
- Carries out their work in a way that will not adversely affect their own, or others’, health, safety and security or the environment and reports any shortcomings in arrangements.
- Maintain - improve standards of health and safety, hygiene and security in the workplace environment.
- Ensuring all warehouse risk assessments, COSHH assessments and MSDS are current and available.
- Support Supply Chain team in being available to support out of hours call outs for plant alarms.
- Where applicable the job holder may have to execute additional tasks in order to meet departmental objectives, example - project-related or developmental/change objectives.
- Execution and understanding of electronic business systems.
- The key point of contact for all warehouse activities/processes etc.
Required/Preferred Education And Licenses
- A minimum of 3 years proven experience in a management/supervisory role within a warehouse environment.
- Knowledge of supply chain functions and disciplines.
- The nature of the position requires high levels of self‑motivation and exceptional commitment to the success of team members and the company as a whole.
- Excellent interpersonal and communication skills (verbal and written) to internal and external stakeholders.
- Demonstrates a can-do, motivational attitude.
- Attention to detail and delivery of accurate data as and when required.
- The role requires use of IT systems and software including ERP/eQMS software and MS Office software especially.
- Ability to change direction and handle multiple tasks on a regular basis.
- A natural willingness to share ideas and information and assist colleagues.
- Pharmaceutical industry experience preferred but not essential.
