You'll be the person keeping multiple live projects moving - from reviewing architectural drawings and negotiating commercial leases to managing supplier relationships and coordinating legal agreements. The Role

You'll be the operational hub connecting design, construction, and property management - keeping multiple workstreams aligned and moving forward. From the moment a development is in motion, you're involved: reviewing incoming architect drawings, building client schedules, managing supplier negotiations, and making sure legal agreements and utility changes are handled accurately and on time. On any given week, you might be meeting prospective tenants to discuss lease terms, coordinating with overseas suppliers on materials pricing, reviewing a set of drawings with the design team, or working with legal to progress access agreements for a live site. It's a genuinely varied role with real commercial weight - and the autonomy to get things done without having to wait for sign-off at every turn. As the business grows its portfolio across Edinburgh, this role will grow with it.

Skills & Experience

  • Experience in property, construction, or design project coordination
  • Strong organisational skills with sharp attention to detail
  • Excellent communication and negotiation abilities
  • Ability to manage multiple projects and stakeholders simultaneously
  • Comfortable working directly with suppliers, contractors, architects, and legal teams
  • Proactive problem solver with a hands-on approach to getting things done

The following would be an advantage:

  • Familiarity with commercial lease structures or tenancy agreements
  • Experience filing or reviewing architectural or interior design documentation
  • Exposure to construction legal agreements (oversail, rights of access, etc.)
  • Knowledge of utility connection and disconnection processes

Your Responsibilities

  • Manage and negotiate commercial leases; meet prospective tenants and coordinate with their project teams
  • Build and maintain client-direct schedules to ensure smooth delivery across live developments
  • Review incoming architectural drawings and project information for accuracy and completeness
  • Negotiate materials and pricing with suppliers, including sourcing from overseas when needed
  • Oversee legal agreements for construction projects including oversail agreements and rights of access
  • Coordinate utility alterations for developments including new connections and disconnections
  • File and track incoming architect drawings and interior design documentation
  • Liaise with internal teams and external stakeholders to keep all workstreams aligned

  • Commercial Awareness - Able to hold your own in lease negotiations and supplier discussions, understanding the financial and operational implications of decisions across a live development programme
  • Stakeholder Management - Skilled at keeping multiple parties - architects, contractors, legal teams, and prospective tenants - informed and aligned without losing momentum
  • Organisational Precision - Able to maintain accurate schedules, records, and documentation across several simultaneous projects without things slipping through the gaps
  • Adaptability - Comfortable switching between creative and commercial tasks, and between high-level planning and hands-on administrative detail
