Key Responsibilities:

  • Minute-taking: Record and transcribe meeting minutes accurately.
  • Office Organization: Maintain an efficient filing system and ensure files are prepared for meetings.
  • Mail Management: Open, record, and distribute incoming mail; handle routine correspondence and draft letters for signature.
  • Communication Facilitation: Liaise with relevant staff to facilitate internal communication and handle telephone calls/enquiries.
  • Typing & Word Processing: Type letters, memos, and minutes; strong proficiency in Microsoft Office and other software required.
  • PowerPoint Presentations: Assist with the creation of presentations for departmental needs.
  • Policy & Report Support: Provide administrative assistance in producing departmental policies and reports.
  • Staff Supervision (if required): Supervise clerical staff and provide guidance as necessary.
  • Stationery Management: Monitor and maintain stock levels of stationery.
  • Database Management: Update and search client databases as needed.
  • Statistical Data Collection: Contribute to the collection and collation of statistical information regularly.
  • Petty Cash Management: Operate and manage a petty cash system in line with Trust policy.

Qualifications:

  • A minimum of 5 GCSEs (Grade A-C) to include English Language and Maths or equivalent qualifications or higher standard of education AND 1 year administrative/clerical experience.
  • NVQ Level II Business & Administration or equivalent and 1 year administrative/clerical experience.
  • 3 years administrative/clerical experience.

Applicants should also have a driving license and 6 months experience using Microsoft Office including Outlook, PowerPoint, Excel and Word is essential.
