We are a small team with everyone working closely together helping each other out when needed.
About The Role: We are looking for an organised and proactive Sales & Operations Assistant to support our wholesale and retail sales channels, customer communications, order processing, and general day-to-day operations. This role works closely with the Buyer and wider team and plays a key part in ensuring orders, systems, and customer relationships are managed smoothly across multiple platforms.
Key Responsibilities include:
- Orders & Customer Emails: Monitor and manage the orders@inbox, reply to customer emails promptly and professionally, process incoming orders accurately, forward retail-specific enquiries and orders to the retail team.
- Sales Platforms & E-commerce: Faire: Process orders and respond to customer messages, send marketing emails and publish new products and create collections, update the shop page several times per year, match payments against Statements of Sales (SOS), oversee the general day-to-day management of the platform. Shopify: Process website orders, manage and support customers registered on the website. Etsy: Publish new products, remove discontinued products. Not On The High Street (NOTHS): Publish new products, remove discontinued products.
- CRM & Administration: Zoho CRM: Upload new customers and leads, maintain and update existing customer and lead records, manage task lists, including contacting customers by phone, email or WhatsApp, update last order dates and follow-up tasks once orders are dispatched.
- Credit Notes & Spreadsheets: Maintain credit note spreadsheets accurately, support general spreadsheet and filing tasks.
- Payments: Check payments daily with the Finance Manager, process payment paperwork, take credit card payments when required.
- Showroom & Customer Visits: Welcome customers to the showroom and talk customers through the product range, take orders during visits.
- Trade Shows: Assist with trade show preparation and work on the stand during trade shows, meeting customers and taking orders, follow up leads after trade shows.
- General Support: Work closely with the Buyer, assist with unloading deliveries when they arrive, support warehouse tasks when required (e.g. drying glass during drilling periods) and help with stocktakes, prepare lampshade and flex sample sets, general filing and administrative support.
About You: Highly organised and proactive approach to work, professional communication skills for replying to customer emails, experience with Excel is essential, accurate in processing orders and maintaining spreadsheets, comfortable managing trade customer relationships across multiple platforms, ability to work closely with a team and support various departments including Finance, Warehouse, and Buying.
